Procurement Operations Officer (K-JESS)

The JESS Procurement Officer Level will be responsible for facilitating and supporting the procurement process for indirect spend utilizing the Coupa P2P and Inquiry Xpress platforms to conduct various pre-administration checks.

OVERVIEW:

KPMG Jamaica has a delivery center named “Jamaica Extended Support Services (JESS)” operating from Kingston, which is contracted to provide back-office support to its member firm KPMG United States (“the Client”). The Clients’ procurement function is expanding operations at JESS to support multiple Procurement processes. Team members within the delivery center work with Client’s stakeholders under a team extension model to support Client’s back-office operations.

The Clients’ Procurement process area performs tasks related to Strategic Sourcing.


JOB SUMMARY: 
The JESS Procurement Officer Level will be responsible for facilitating and supporting the procurement process for indirect spend including: technology, publications and subscriptions, office supplies, branded merchandise and other indirect categories utilizing the Coupa P2P. This may include, but not limited to support of the upstream contracting as well as downstream procure to pay processes. You will liaise with various departments (e.g. Legal, Risk, Finance, Brand, IT) to ensure contracts and rationale meets the purchasing requirements as per firm standards and appropriate internal procedures are followed prior to purchase/approval of the submission. 


The JESS Procurement Officer reports primarily to the JESS Strategic Sourcing & Procurement Operations Team Lead but will also take direction from other Manager Client team members who are accountable for supported work.


JOB RESPONSIBILITIES
Service Delivery 
—Fulfill Clients’ purchase requests submitted through the Coupa P2P platform, Inquiry Xpress and Emails. 
—Respond to general inquiries submitted to the email boxes and direct purchase requests to Coupa 
—Conduct due diligence checks on requisitions to ensure all are in order to proceed with the purchase
—Ensure requisitions are swiveled to One Trust once they meet the established requirements
—Ensure that suppliers and purchase amount that meet risk checks requirements are submitted to the different teams to conduct reviews
—Educate and assist end users on how to submit proper purchase requests when the need arises
—Educate end users on Firm policies to drive adherence
—Identify and escalate areas for process improvements or increased efficiency
—Liaise with various departments (e.g. Legal, Risk, Finance, Brand, IT) to ensure purchases meet firm standards and appropriate internal procedures are followed prior to purchase
—Support special initiatives/projects


KNOWLEDGE, SKILLS, and COMPETENCIES:

    Education/Experience
—Bachelor’s Degree in Procurement or Equivalent Professional Accreditation
—At least two years relevant work experience within Purchasing or Procurement or a   similar process
—Prior experience with Coupa or another Procurement system preferred

SPECIAL CONDITIONS
—Expected to work in a fast-paced team environment
—Will be working primarily in a paperless environment and expected to be using information systems for the entire workday to access data or perform activities
—May be required to work extended hours periodically or on public holidays
