Position Objective:
To directly oversee and manage all activities in support of the trial process and the substantive panels including, but are not limited to, the assignment and service of all matters from filing to disposition.
KEY RESPONSIBILITIES AND DUTIES:
• Check all documents received and routes those pertaining to fixed dates to listing officer for processing.
•Advise the panel on the projected dates and makes requests from relevant sub-registries for use of their courtrooms and video conferencing facilities as direct.
• Draft, prepare and issue all notices, reminders and court orders from the relevant panels regarding pre- and post-matters in accordance with court proceedings and submit to Deputy Registrar & Marshal, Registrar & Marshal or appropriate officer for signature and issue.
• Prepare Minutes of the day’s proceedings in Court and posts to the website upon approval by the president of the Panel.
• Maintain and updates the Pending List and the Scheduled List of cases on the website.
• Maintain a monitoring schedule of times for court hearings, case management conferences, directions hearings and panel meetings of the Judges.
• Issue notices and reminders of date and time for court hearings, directions hearings and case management conferences to relevant parties.
• Receive, research, and draft replies to correspondence for approval as required.
• Attend hearings and record relevant information to update lists.
• Manage the internal and external distribution of judgements.
• Review data entries for case updates and make amendments as necessary.
• Request practice certificates to ensure that attorneys are properly registered before their domestic courts and issues regional bar numbers.
• Verify names of the attorneys appearing before the Court in particular matters and inform the Ministry of Foreign Affairs of their flight details to ensure smooth entry into the country.
• Issue certificate or proof of status in accordance with Part 4.3 of the Caribbean Court of Justice Appellate Jurisdiction Rules, 2005 as amended.
• Interact with all client and stakeholders to ensure timely disposition of matters from the filing date.
• Update the register of appeals and register of cases (Cause Book) in accordance with Part 2 of the Rules and provide quarterly reports on the status of court matters.
• Produce monthly reports on matters scheduled for listed hearing and contacts relevant parties such as members of Judges’ teams, as necessary.
• Prepare statistics on court performance based on CourTools.
• Provide support for projects and Court events as directed
• Assist with the planning, organizing and execution of projects and Court events.
• Serve on committees as required.
• Perform any other related duties as assigned from time to time.
Required Knowledge, Skills and Abilities:
• Considerable knowledge and experience performing case flow management practices.
• Working knowledge of rules of court and principles of law.
• Knowledge of a case management information system software application.
• Proficiency in the Microsoft Office Suite of programmes, including Word, Excel and PowerPoint and case management software.
• Excellent interpersonal, communications (oral and written) and presentation skills.
• Excellent customer service skills.
• Ability to build trust and credibility and establish and maintain effective working relationships with judges, other employees, legal practitioners and the general public throughout the CARICOM region.
• Ability to collect and compile standard statistical data and prepare accurate statistical reports.
• Ability to pay attention to details and coordinate activities for the efficient case management.
• Ability to work in a team, and demonstrate the highest level of professional integrity, respect and diplomacy for colleagues and others.
• Ability to efficiently manage time, multi-task and function effectively in a fast paced and demanding environment.

MINIMUM EDUCATION AND EXPERIENCE
• An Associate Degree or equivalent in Paralegal Studies or Diploma in Public Administration, Management or related field with evidence of paralegal training
• Four (4) years’ experience in a court office or registry.
• Training in Statistical Methods.
• Computer literacy relevant to statistical work.
BASE SALARY: US$2,825.13 (Free of Tax)
