Job Summary:

We are seeking a highly motivated and organized individual to join our team as an Operations Coordinator In this role, you will play a pivotal role in supporting various departments within the company, ensuring efficient operations and a positive work environment. You will be a master multitasker with a strong ability to prioritize tasks, manage time effectively, and learn new skills quickly.

Responsibilities:

Administrative Support:

  • Manage calendars and schedules for assigned personnel.
  • Arrange meetings, travel arrangements, and logistics for internal and external stakeholders.
  • Prepare professional presentations and reports.
  • Oversee office supplies and equipment, ensuring proper inventory management and replenishment.
  • Manage petty cash and perform basic accounting tasks (using QuickBooks).
  • Coordinate and facilitate communication within and across departments.
  • Maintain a clean and organized work environment.

Financial Management:

  • Create invoices and purchase orders.
  • Manage accounts receivable and payable.
  • Assist with payroll functions as needed.

Human Resources Support (as needed):

  • Assist with the recruitment process, scheduling interviews, and onboarding new hires.
  • Maintain employee records and update human resource databases (if applicable).

Team Leadership:

  • Supervise and delegate tasks to administrative staff (if applicable).
  • Foster a positive and collaborative team environment.

Qualifications:

  • Minimum of 3-5 years of experience in a supervisory administrative role.
  • Proven ability to multitask effectively, prioritize tasks, and meet deadlines.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks Online.
  • Possess a strong working knowledge of administrative procedures.
  • Ability to learn new software programs and adapt to changing priorities quickly.
  • Strong attention to detail and a commitment to accuracy.
  • Reliable and trustworthy, with a professional demeanor.
  • Valid driver's license and access to a reliable vehicle.
