Responsible for the monitoring and ordering of Pharmaceutical inventories with respect to adequate stock levels and maintaining an on-line and current system, also facilitating the smooth transfer of documentation for shipment of goods between the Suppliers, Customs and the Warehouse.

CORE RESPONSIBILITIES & DUTIES

  1. Review Trend Report monthly and generate purchase orders for Local and International Suppliers as required.
  2. Dispatch purchase orders to Suppliers by the 10th working day of each month.
  3. Monitor and track the progress of all purchase orders and to provide support to the custom department.
  4. Ensure efficient and effective coordination with customs department and regulation.
  5. Liaise with custom department on a regular basis to ensure prompt preparation of clearance documents.
  6. Cost or pre-cost all goods as required and to provide costing sheets for approval.
  7. Ensure System 2000 is current and up-to-date with correct prices.
  8. Preparation of Drug Permits for each order processed, ensuring permits are received, stamped and return from M.O.H.
  9. Generate report on selected Government order for commission rebate.
  10. Enter and print all receival report on System 2000 within 24 hours upon receipt.
  11. Update receival and all inventory transactions immediately upon entry being done.
  12. Maintenance and monitoring of P/O and costing log book daily.
  13. To participate in quarterly stock taking exercise.

 

PERFORMANCE CRITERIA

Maintenance of accurate prices and up-to-date inventory files on system.

Maintenance of three (3) months stock on hand at all times.

Accurately and timely report on re-order level.

 

ACADEMIC/QUALIFICATIONS AND EXPERIENCE 

  • Diploma in Business Administration
  • Working knowledge of Accounting Principles.
  • Two (2) years working experience in a similar capacity.

 

REQUIRED SKILLS AND SPECIALIZED TECHNIQUES

  • Effective time management and negotiation skills.
  • Excellent communication and interpersonal skills.
  • Highly developed organizational and analytical skills.
  • Ability to work well as part of a team.
  • Competence in Word, Excel and Power Point
