Job Summary
We are seeking a Front Office and Client Relations Coordinator to serve as the first point of contact in a high-end, fast-paced dental environment. This role is essential in creating a seamless, professional, and welcoming experience for every visitor. You will manage appointments, support daily operations, and help maintain a polished front-of-house experience that reflects our high standards for service and attention to detail.
Key Responsibilities
✔ Greet and manage patient flow with warmth, professionalism, and discretion
✔ Schedule and confirm appointments, treatment plans, and follow-ups using dental scheduling software
✔ Manage incoming calls, emails, and patient inquiries with courtesy and efficiency
✔ Maintain accurate patient records and assist with data entry and compliance protocols
✔ Process patient payments, insurance claims, and treatment financing options
✔ Support aftercare communications and appointment reminders
✔ Coordinate with clinical staff to ensure smooth daily operations and minimize wait times
✔ Assist in administrative reporting, inventory management, and office organization
✔ Provide support for marketing initiatives, events, and in-clinic promotions
✔ Uphold cleanliness, order, and presentation of the front desk and waiting area
✔ Address patient concerns or feedback promptly and professionally
What You Bring
✨ Previous experience in a dental, medical, hotel as VIP guess services or luxury hospitality environment
✨ Exceptional interpersonal, communication, and problem-solving skills
✨ High level of discretion, professionalism, and a calm demeanor under pressure
✨ Strong organizational and multitasking abilities in a fast-paced setting
✨ Familiarity with dental or medical practice management software (e.g., Dentrix, Open Dental)
✨ Proactive mindset with a team-oriented approach and attention to detail
Education & Qualifications
🎓 Five CXC Passes
🎓 Minimum of two years’ experience in dental or medical practices. Experience in VIP airport lounges, luxury hotels, or other high-end environments serving elite clientele would be highly valued and considered an asset.
🎓 Certification in healthcare administration, receptionist, front office training, customer service, or related field preferred
🎓 CPR/First Aid certification is a plus
