JOB PURPOSE

The Fleet Maintenance Supervisor is responsible for overseeing the maintenance and repair activities of the company’s fleet of vehicles, ensuring that all vehicles are kept in optimal working condition and that maintenance tasks are performed efficiently and safely. This role involves managing a team of mechanics and technicians, coordinating preventive and corrective maintenance, maintaining records, and ensuring compliance with all relevant regulations. The Fleet Maintenance Supervisor plays a critical role in minimizing vehicle downtime, reducing maintenance costs, and ensuring the safety and reliability of the fleet.

 

MAIN JOB RESPONSIBILITIES

Supervision of Maintenance Team

  • Manage, lead, and supervise a team of mechanics, technicians, and other maintenance personnel.
  • Assign and prioritize maintenance tasks based on vehicle condition, fleet schedule, and business needs.
  • Provide guidance, training, and support to the maintenance team to ensure high-quality workmanship and adherence to safety standards.
  • Conduct regular performance evaluations and provide feedback to team members.

Preventive and Corrective Maintenance

  • Coordinate with Maintenance Planner to develop and implement a comprehensive preventive maintenance schedule for all fleet vehicles, including inspections, services, and repairs.
  • Oversee the execution of preventive maintenance tasks to ensure vehicles are in optimal condition and meet safety standards.
  • Coordinate and manage corrective maintenance and repairs as needed, minimizing vehicle downtime and ensuring timely resolution of issues.
  • Work closely with the Fleet Manager to adjust maintenance schedules in response to changing business needs or unexpected vehicle issues.

Vehicle Inspections and Diagnostics

  • Conduct regular inspections of fleet vehicles to identify potential issues and ensure compliance with safety and operational standards.
  • Use diagnostic tools and software to accurately identify and troubleshoot vehicle problems.
  • Ensure that all necessary repairs and maintenance are completed promptly and effectively.

Inventory and Parts Management

  • Manage the tools and equipment required for vehicle maintenance and repairs.
  • Coordinate with the procurement team to order and maintain adequate stock levels of essential parts and supplies.

 

 

Safety and Compliance

  • Enforce safety standards and ensure that all maintenance activities comply with ECGC’s policies and procedures.
  • Conduct safety training for maintenance personnel and ensure that all safety protocols are followed during maintenance activities.
  • Investigate and report any accidents or incidents within the maintenance department, including root cause analysis and implementation of corrective actions.
  • Maintain accurate and up-to-date records of all maintenance activities, including inspections, repairs, and compliance documentation.

Maintenance Management System Utilization

  • Utilize MaintainX to track maintenance schedules, work orders, and vehicle performance.
  • Ensure that all maintenance activities are logged in MaintainX, including parts used, labor hours, and completed work orders.
  • Generate and analyze reports on fleet maintenance performance, including vehicle uptime, maintenance costs, and work order completion rates.

Budget and Cost Control

  • Monitor and control maintenance-related expenses, including labor, parts, and external services.
  • Work with the Maintenance Manager to develop and manage the maintenance budget, ensuring that all expenditures are within approved limits.
  • Identify opportunities to reduce maintenance costs without compromising vehicle safety or reliability.

 Continuous Improvement

  • Continuously seek opportunities to improve maintenance processes, reduce vehicle downtime, and enhance overall fleet performance.
  • Stay informed of industry trends, new technologies, and best practices in fleet maintenance.
  • Implement improvements based on maintenance data, feedback from the team, and industry advancements.

Documentation and Reporting

  • Maintain accurate records of all maintenance activities, including vehicle inspections, repairs, parts usage, and compliance documentation.
  • Prepare regular reports on maintenance performance, vehicle reliability, and compliance for management review.
  • Ensure all required documentation is completed and submitted in a timely manner.

 

KNOWLEDGE, SKILLS, QUALIFICATIONS, AND EXPERIENCE REQUIRED:

 

  • Bachelor's degree, Diploma, or Associate degree in automotive technology, mechanical engineering, or other related field of study from an accredited institution is preferred. 
  • Certification in automotive repair or maintenance management is a plus. 
  • 5 to 8 years of experience in vehicle maintenance, repair, or a related field, with at least 1-2 years in a supervisory role. 
  • Experience working with commercial fleets is preferred. 
  • Strong leadership and supervisory skills, with the ability to manage and motivate a team. 
  • Proficiency in diagnostic tools, maintenance management software, and maintenance-related software applications. 
  • Excellent problem-solving skills and the ability to make decisions under pressure. 
  • Strong communication and interpersonal skills, with the ability to work effectively with cross-functional teams. 
  • Knowledge of vehicle maintenance practices, safety regulations, and compliance requirements. 
  • Valid driver’s license and the ability to operate company vehicles as required. 
  • Good knowledge of MS Office. 
  • Excellent communication and interpersonal skills.

 

PHYSICAL REQUIREMENTS:

  • Ability to work in a workshop environment, including standing for extended periods and working in various weather conditions.
  • Ability to lift and carry tools and parts, and perform physical tasks related to vehicle maintenance and repair.
  • While performing the duties of this Job, the employee is regularly required to stand. The employee is frequently required to walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to sit; climb or balance and stoop, kneel, crouch, or crawl.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus.
