Administrative Assistant
Job Summary
The Administrative Assistant provides support to the Nursing Administrator by overseeing administrative tasks, coordinating communications, and ensuring efficient office operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced healthcare environment.
Duties and Responsibilities
Handle sensitive and confidential information with discretion, ensuring compliance with healthcare privacy regulations.
Maintain and update files, records, and databases related to nursing operations, including policies, procedures, and staffing schedules.
Manage calendars and schedule meetings for the Nursing Administrator.
Prepare and format reports, presentations, memos, and other documents for meetings.
Complete and maintain the daily staff allocation and attendance report.
Collect, file, and maintain the 24-hour census report.
Organize and coordinate meetings, including preparing agendas, recording minutes, and ensuring follow-up actions are completed.
Serve as a point of contact for internal and external communications on behalf of the Nursing Administrator.
Keep the office environment organized and ensure smooth day-to-day operations.
Perform general office tasks such as ordering supplies and handling mail.
Perform all duties in conformance to appropriate quality, health, safety, security and environmental policies and procedures
Perform any other job duties as required by the job function
Minimum Education and Qualifications
A minimum of five (5) GCE or CXC O ‘Level passes, including English Language
Associate’s Degree in business administration, Healthcare Administration, or related field preferred.
Experience
Minimum of 2 years of administrative experience, preferably in a healthcare setting
Experience in using MS Office Suite
Or any equivalent combination of qualification and experience
