A reputable company within the financial industry is seeking to fill the position of Senior Administrative Assistant.

Job Purpose

The Senior Administrative Assistant provides administrative support to the Chief Human Resources Officer as required in an effective and efficient manner under minimal supervision. The Senior Administrative Assistant is responsible for supporting the effective operations of the company’s Human Department.

 Duties & Responsibilities

  • Provides assistance to the Chief Human Resources Officer by executing general administrative with a high-level of professionalism and confidentiality to ensure the Executive is adequately supported to achieve efficiency by executing the following but not limited to administrative tasks:
    • Scheduling meetings and coordinating the calendar prioritizing inquiries and requests while troubleshooting conflicts
    • Receives and directs calls to the office of the CHRO
    • Drafting highly sensitive and confidential letters, presentations and reports in accordance with the Correspondence Convention Policy
    • Maintaining an appropriate physical and electronic documentation filing system
  • Administratively supports all aspects of the Human Resources Department functions
    • Receives and distributes all incoming correspondence and process invoices vendors
    • Monitors stationery and department supplies replenishing stock when required
    • Assists with the coordination and logistical arrangements for interviews, in-house and external training and staff events and onboarding new employees
    • Serves as a backup to the Human Resource Assistants and Officers as and when required
  • Manages relationships with internal and external stakeholders on behalf of the CHRO
  • Prepares and generate standard, ad-hoc reports and statistical data for HR metrics, KPI and other human resource and management reports.

 Skills/Competencies

  • Extensive knowledge and understanding of secretarial procedures
  • Extensive ability to handle confidential and sensitive information with discretion and maintain professionalism at all times
  • Highly organized with strong attention to detail
  • Strong ability to prioritize, multitask, and work under minimal supervision
  • Strong problem-solving skills with a proactive and energetic approach to work
  • Results driven, confident, solution-oriented and forward-thinking
  • Foundational knowledge of human resource principles, best practices and labour laws.

 Qualification & Experience

  • A minimum of five (5) CXC subjects, inclusive of English and Mathematics at Grade 2
  • An Advanced Diploma in Human Resource Management or Business Management
  • Administrative Professional Secretary certificate
  • Intermediate level certification in Microsoft Word and Excel
  • A minimum of 3 years’ experience in a similar position within a Human Resource Department
  • A minimum 2 years’ experience with the use of HRIS, data analytics and reporting.
