The Management Institute for National Development (MIND) is the Government of Jamaica’s training institute, with the mandate “to provide effective leadership development and management training appropriate to all levels, and in line with the demands of a modern and competitive public service”.

MINDseeks to identify a suitable qualified and competent ADMINISTRATOR responsible for Organizing  and managing the administration, support systems and activities that facilitate the effective running of the Public Service Capability Development Department , Providing administrative support to the Director Public Service Capability Development to ensure the achievement of Unit goals, objectives and targets.

Responsibility

  • With the guidance of the Director, Public Service Capability Development, develop and maintain an administratively, structurally efficient Public Service Capability Development Department, to respond effectively to the administrative needs and functions of the Department across all Units
  • Assist with the process of developing , establishing and monitoring administrative policies, procedures and systems to guide the effective administration of the Department, across all Units
  • Manage the multiple and dynamic range of administrative projects, including:
  •  Providing support for the preparation of documents and correspondence to support communication with clients, participants, internal stakeholders and other routine correspondence
  • Logging all incoming and outgoing correspondences
  • Developing and maintain filing system to facilitate access
  • Scheduling/organizing meetings and appointments for the Director of PSCD, diarizing and providing follow-up and making the necessary arrangements and preparations
  • Preparing minutes of meetings and discussions
  • Maintaining an effective system of follow-up on outstanding reports, correspondences and matters for action
  • Ensuring proper coordination of all projects, programmes, activities being executed in the Office of the Director
  • Keeping abreast of all matters being handled by the Director in order to provide the necessary support and feedback/information as needed by the Director
  • Performing normal administrative tasks including the handling of mails and telephone calls
  • Checking and logging all Associates Contracts and Sessional Claims for the Director’s signature
  • Assisting in the preparation and dispatching of customized and consultancy proposals
    • Monitoring and maintaining the supply of office stationery and supplies according to established inventory standards, and prepare the necessary requisition of same
    • Preparing weekly leave reports for the Unit for submission to the Human Resource Management Unit
    • Establishing, utilizing and maintaining an efficient Data and record management system and prepare reports and statistics for internal and external use
    • Drafting other reports as requested by the Director

 EDUCATION/EXPERIENCE

  • First Degree or appropriate level Certificate in relevant area
  • Two (2) years related work experience
  • Proficient in Microsoft Excel, Microsoft Office suite, (SharePoint/Teams)

  • Excellent analytical skills with the ability to exercise appropriate judgment in executing tasks without supervision 
  • Demonstrates resourcefulness and initiative in dealing with daily assumptions.
  • A high level of individual creativity and initiative, with the ability to think analytically, and research and assess opportunities.
