Reporting to the Managing Director, the Administrative Assistant plays a crucial role in ensuring the smooth operation of the office by managing schedules, coordinating meetings, handling correspondence, and maintaining records. This position provides comprehensive administrative support, contributing to overall efficiency across multiple departments, including customer service, sales, accounting, inventory management, and daily operations.

Accountabilities

Administrative Support

  • Manage calendars and schedules for team members and management.
  • Coordinate meetings, prepare agendas, and handle all correspondence.
  • Maintain office records and files, ensuring they are organized and up-to-date.
  • Perform general administrative tasks such as data entry and document preparation.

Customer Service and Sales:

  • Provide support in customer service by handling inquiries and processing orders.
  • Assist in sales activities and maintain excellent customer relations.

Operations and Inventory Management

  • Assist with warehouse and inventory management, including maintaining records and performing inventory checks.
  • Support daily operations to ensure the smooth functioning of the office and assist team members with various tasks.

Project Management Support

  • Provide administrative support for project management efforts, ensuring tasks are completed on time and within scope.

Education and Experience

  • Associate's degree in Business Administration, Office Management, or a related field.
  • A minimum of 2 years’ experience in an administrative assistant or similar role.

Required Knowledge, Skills and Abilities

  • Strong attention to detail and high degree of accuracy.
  • Effective time management and organizational skills, with the ability to meet deadlines and manage multiple priorities.
  • Proficiency in Microsoft Office Suite, including Word, Excel,and PowerPoint
  • Good verbal and written communication skills
  • Demonstrated flexibility and adaptability in a dynamic work environment.
  • Ability to thrive in a fast-paced setting and navigate changes with a positive attitude.
  • Ability to work independently and as part of a team.
  • Strong ethical standards and commitment to integrity.
