The Accounting Specialist will be responsible for managing carrier services, handling accounts receivable (AR) duties, and performing general accounting tasks.
The Accounting Specialist will serve as the key intermediary between the Sales/Operations team and the Accounting department. The Accounting Specialist will be responsible for managing carrier services, handling accounts receivable (AR) duties, and performing general accounting tasks. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with carriers, brokers, and customers.
Responsibilities and essential job functions include but are not limited to the following:
Carrier Services Management:
- Oversee carrier onboarding and compliance with federal and state transportation regulations.
- Verify carrier contracts and ensure all loads are following policy and procedure.
- Monitor QuickBooks modules for notes from Accounts Payable (AP).
- Address email inquiries regarding pay status, rate confirmation, Notice of Assignment (NOA) on file, etc.
- Answer inbound calls to the accounting extension regarding pay status, rate confirmation, NOA on file, etc.
- Manage existing operational accounts and continuously deliver the highest level of customer service with vendors.
Accounts Receivable Duties:
- Record ACH/Check deposits.
- Perform rendition billing.
- Generate and manage customer aging statements weekly.
- Resolve or escalate customer billing issues.
- Provide customer statements upon request.
General Accounting Tasks:
- Reconcile banking modules in QuickBooks Online.
- Perform verification of contract rates, accounting receivables, locating shipping manifests and paperwork, daily bookkeeping, and data entry.
- Ensure accurate record-keeping of all freight shipments and related documentation.
Customer Service:
- Provide excellent customer service by addressing customer inquiries and concerns in a timely and professional manner.
- Maintain contact with existing clients to ensure satisfaction and request referrals.
- Coordinate and schedule the transportation of freight shipments to ensure timely delivery and customer satisfaction.
- Communicate with carriers, drivers, and customers to ensure smooth and efficient transportation of goods.
- Track and monitor shipments to ensure they are delivered on time and according to customer requirements.
- Resolve issues and problems that may arise during transportation, such as delays or damaged goods.
- Log updates correctly in the system and update brokers by phone or email if anything is urgent.
- Check call drivers to ensure on-time pickup and delivery.
Flexibility and Additional Duties:
- Be available for weekend work as needed.
- Flexibility to work any shift, 365 days a year, including nights and weekends.
- Perform additional duties as assigned.
Knowledge, Skills, and Abilities:
- Minimum of 2 years of experience in an accounting role.
- Proficiency in QuickBooks Online and Microsoft Office Suite (Excel, Word, Outlook).
- Bachelor's degree in Accounting, Finance, or a related field preferred.
- Rapid and accurate typing with experience in data entry.
- Excellent communication skills, both written and verbal.
- Outstanding organizational skills and multitasking abilities.
- Drive, assertiveness, passion, and dedication to succeed in the logistics industry.
- Ability to work independently while supporting an overall team mentality.
- Ability to multitask in a fast-paced environment with rapidly changing priorities.
- Ability to handle and prioritize high call volumes and carrier inquiries.
