JOB DESCRIPTION

 

TITLE: RECEPTIONIST/COLLECTION OFFICER

SALARY: $6000.00

CONTRACT: 3 MONTH

REPORTS TO
:  GENERAL MANAGER

DEPARTMENT:  ADMINISTRATION

 
WORKING HOURS:  Regular working hours are from 7:30am – 4:00pm Monday through Friday.  However,due to future business contingencies, you may be required to work outside of the regular business days and hours; The Company will give ample notice should this become necessary.  However, due to the nature of our operations, short notice is expected at times.


ROLE:   The Receptionist is the first point of customer contact, both face-to-face and on the telephone. The Receptionist projects the professional image of the Company and also provides basic information to visitors according to Company policy.


KEY RESPONSIBILITIES:

  • Receiving visitors ensuring that they sign the log on entry and that they are dealt with in a timely and courteous manner.
  • Answering and routing telephone calls in a timely and courteous manner.
  • Receiving, directing and relaying telephone messages in a timely manner.
  • Taking clear concise messages for personnel in their absence.
  • Coordinating the Courier daily run.
  • Coordinating the Administrative department daily Tool Box meeting.
  • Receiving deliveries and/or directing the deliverymen to the administration area for drop off. Always notifying relevant persons of receipt of deliveries in a timely manner.
  • Issuing cheques and/or other mail to customers or suppliers. Ensuring that all cheques are properly signed for.
  • Assisting with clerical tasks including typing and filing.
  • Receiving, opening, stamping, recording and distributing mail and all other general correspondence to the appropriate member of staff or department in a timely manner.
  • Ensuring that the reception area remains clean, presentable and orderly at all times.
  • Liaising with customer regarding collections, ensuring payments are made as per credit terms.
  • Providing documentation support to customers as needed.
  • Performing other related duties as required by the Company.
      Temporary Assignment- HSEQ Department

  • Updating Awareness Log from all awareness topics
  • Updating Be Safe Not Sorry Log with all be safe not sorry cards submitted
  • Updating Induction Register with all persons who receive orientation
  • Updating Man- Hour log and safety pyramid
  • Printing JSA’s for the Admin & Service dept. on a monthly basis.
  • Filing HSEQ documents.

MINIMUM CORE COMPETENCIES:
  • Ability to be dependable and flexible when the situation arise.
  • Effective time management and multitasking skills.
  • Very good communication skills both orally and in writing
  • Very good interpersonal skills
 
MINIMUM QUALIFICATIONS & EXPERIENCE:
  • Five (5) CXC O’ Level subjects including English and Mathematics.
  • Administrative Assistant Certificate.
  • Proficient in the use of Microsoft suite applications - Word, Excel, Outlook, Power Point etc.
  • Minimum of two (2) years’ experience in a similar capacity.
