We are seeking to hire a Project Coordinator who will be in charge of assisting our project managers in organizing
our ongoing projects. This task involves monitoring project plans, schedules, work hours, budgets and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. A bachelor's degree in a related field of study and at least 3-5 years of relevant experience is required for consideration

Responsibilities :

  • Working with the General Manager, Facilities Manager and Finance & Operations Manager to support the relevant project departmental objectives as necessary, set and/or implement policies, procedures and systems and to follow through with implementation for all internal project coordination activities. 
  • Coordinate with Facilities Management relevant project updates to assist in coordination of transition from Project execution stage to operations. 
  • Managing project management documents such as the project plan, budget, work hours, schedule or scope statement, as directed by the Project Manager, ensuring all necessary materials are current, properly filed and stored in the Project Administration Database in written and electronic form. 
  • Assist the Finance Team in the payables function for each project by confirming with the project managers completion of services and other agreed contractual obligations, approval of routine operating expenses, provision of invoices and deliveries of cheques as required. 
  • Serve as the primary point of contact with the Project Managers for all project related matters. 
  • Analyze, implement and improve project related organizational processes and workflows. 
  • Organizing, attending and participating in stakeholder meetings, documenting and following up on important actions, minutes and decisions from meetings. 
  • Assess project risks and issues and provide solutions where applicable. 
  • Create and maintain a project management calendar for fulfilling project goals and objectives. 
  • Communicate with clients to identify and define project requirements, scope and objectives 
  • Scheduling stakeholder meetings and facilitating communication between the project manager and stakeholders throughout the project life cycle. 
  • Executing a variety of project management administrative tasks such as budgeting and invoicing where applicable.
  • Ensure all offer letters, development agreements and leases are signed by tenants 
  • Maintenance of tenant files ensuring all are complete and up to date in respect of tenant checklist, leases and tenancy agreements, tenant registration documentation to be handed over to the operations team 
  • Liaising with tenants as required and ensuring all follow-up activities are properly completed.
Qualificaitons Required :
  • Bachelor’s degree in business management or other relevant degree. 
  • 3-5 years experience in project or property management/real estate industry
