Operations Coordinator
Main Function:
To offer strong secretarial and administrative support to the Senior Manager – Wharf Operations and other personnel in fulfilling the objectives of the company. In so doing, will be required to effectively implement administrative systems and coordinate activities to ensure the efficient running of the operations at Newport Wharf & Storage.
Responsibilities:
· Offer Operations support to Senior Manager – Wharf Operation, Sales team, production team and other departments as needed on facility
· Receive, sort and arrange for the distribution of all mail internally and externally associated with the operation
· Maintain customer files and any other files with proper filing system
· Attend weekly meetings and prepare accurate minutes for timely dissemination
· Collect and maintain production data
· Receive and direct all incoming telephone calls
· Liaise with production department concerning the loading of containers
· Receive, sort and acquire approval and pass on to relevant department all invoices due for payment
· Coordinate the schedule of vessels to the dock
· Immediately report occurrences negatively impacting on any aspect of safety, productivity and quality
Any other duties which may be assigned from time to time
Demonstrated Knowledge, Skills, Experience
· A BSc in Logistics, Freight Forwarding or General Management.
· At least 3 years administrative experience, must include organization, coordination and performance of duties at a responsible level
· Ability to work with and communicate with persons at all levels
