Job Title: Office Manager
Overview:
The Office Manager is responsible for overseeing daily office operations to ensure smooth functioning, employee productivity, and alignment with company objectives. This role requires excellent leadership, organizational, and communication skills. The ideal candidate will manage staff, budgets, office supplies, and ensure adherence to company policies.
Key Responsibilities:
Oversee the work of all office employees to ensure productivity, timely task completion, and adherence to company standards.
Provide counselling and support to employees struggling with performance.
Conduct interviews, hire, and train new employees, managing all employment documentation.
Manage employee performance through regular coaching, mentoring, and performance reviews.
Create and maintain the office budget, ensuring all employees follow financial guidelines.
Monitor and replenish office supplies, ordering new furniture, electronics, or appliances as required.
Coordinate with maintenance services to ensure a safe, clean office environment and proper functioning of equipment.
Answer and redirect telephone calls and emails to the relevant team members.
Report progress to senior management and collaborate with them on improving operations and processes.
Communicate company goals and strategies during team or individual meetings.
Establish and maintain professional relationships with clients, vendors, and internal business lines.
Investigate customer or visitor concerns, taking appropriate action or escalating when necessary.
- Follow up on outstanding payments from clients.
Ensure adherence to company policies, procedures, and safety regulations.
Perform additional duties as required by the Managing Director to support company operations.
Education & Experience:
Bachelor’s degree in business administration, Management, or a related field.
A minimum of 5 years in office management or a similar role.
Experience in budgeting, team leadership, and vendor management.
Proficiency in Microsoft Office Suite and office management software.
Strong interpersonal and problem-solving skills.
This role requires someone who is proactive, detail-oriented, and able to manage multiple priorities effectively. The Office Manager will be instrumental in fostering a productive work environment and ensuring smooth daily operations.
