Medical Scheduler/Administrator

Are you a detail-oriented, professional, and customer-focused individual who desires to make a meaningful impact in the healthcare field? Our client, a medical centre in Kingston is seeking a Medical Scheduler/Administrator to join their team.

Key Responsibilities:

  • Take full ownership and accountability of the daily appointment schedule.
  • Schedule all new and follow-up patient appointments.
  • Ensure all lab reports are received and uploaded prior to follow-up appointments.
  • Call patients to confirm appointments following established protocols.
  • Respond to WhatsApp messages and patient inquiries, ensuring exceptional customer service standards.
  • Handle patient requests via phone and email.
  • Regularly check and respond to all relevant mailboxes promptly and professionally.
  • Manage the supplement and patient wait lists efficiently.
  • Ensure compliance with data protection policies.
  • Adhere to organizational protocols to maintain high standards of patient care.
  • Provide weekly and monthly KPI reporting.
  • Relieve the billing team during lunch breaks or absences.
  • Support the supply chain process for office and medical supplies as needed.
  • Perform additional responsibilities to enhance patient care and organizational success.

 Qualifications, Experience and Skills:

  • Tertiary-level education.
  • Previous experience in a similar role or environment (preferred but not required).
  • Proficiency in Google Suite and QuickBooks.
  • Outstanding customer service skills.
  • Professional demeanor and strong organizational abilities.
  • Exceptional attention to detail and a proactive, solutions-oriented mindset.
  • Excellent communication skills in all formats (verbal, written, and digital).
  • Ability to work independently and make timely, informed decisions.
  • Team-oriented with flexibility and accountability.
