Performs administrative and office support activities for multiple supervisors. Duties may in include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets, presentation and filing.

 The Role

Responsibilities will include but are not limited to booking appointments for inspections, treatments and follow-up visits, sending reminder emails/phone calls to clients about upcoming services, work in emergency appointments and resolve scheduling conflicts, fielding telephone calls, receiving and directing visitors.

What You'll Be Doing

  • Maintain Database by inputting new customer information.
  • Schedule all customer appointments at least three days in advance, while allowing for same day, and emergency services.
  • Complete and distribute staff rosters – reassign staff as necessary.
  • Notify/remind customers of their appointments in timely manner.
  • Ensure that the previous day’s work orders are uploaded for closure, and subsequently process for invoice generation.
  • Provide report reflective of missed standard services, new accounts attained, one-off treatments, and other details as deemed necessary.
  • Efficiently maintain customer records (digital and physical); ensure al files/accounts are up-to-date.
  • Assist with coordinating travel and hotel accommodation for staff as needed.
  • Process service cancellation requests and maintain cancellation records.
  • Check email and reply to all in a timely manner.
  • Record meeting minutes.
  • Provide outstanding customer service to your internal & external customers.

A Little Bit About You

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Exhibit excellent customer service and interpersonal skills
  • Computer proficiency (MS Office – Word, Excel and Outlook etc.)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Outstanding organizational and coordination abilities.
  • Ability to work with minimal supervision and track multiple processes.

Required Qualifications & Work Experience

  • Associate’s Degree in Logistics and Supply Chain Management or related field.
  • Experience with inventory control and management is an asset  
  • Minimum two (2) years’ experience in customer service related functions are preferred
