LIBRARY ASSISTANT

The Caribbean Maritime University (CMU), the only specialized maritime university in the English-speaking Caribbean is inviting applications for the post of Library Assistant (Level 3).

JOB SUMMARY

The incumbent will assist the Cataloguing Librarian with several activities. He or she will assist with a variety of technical procedures, such as elementary cataloguing, carrying out library acquisition procedures, entering materials in automated database and assisting in file and records maintenance. The incumbent is also invested with making routine library technical assistance decisions. The position requires that the employee has good knowledge, skills and ability in every phase of library technical support function.

Key Outputs:

  • Documents are appropriately categorized and stored in accordance to the University’s policy on records management;
  • Schedules of meetings and other events are developed and logged.
  • Correspondence and reports are prepared accurately.
  • Filing system developed and maintained.
  • Provide support to the students.
  • Sustain positive and collaborative relationships with staff members.
  • Liaise with internal and external stakeholders.
  • Provide assistance with the development of cataloguing policies and procedures.
  • Maintain the integrity of bibliographic and authority records.
  • Maintain accurate records of library items.

 Key Responsibility Areas:

  • Provides full administrative support to the department.
  • Assists in drafting cataloging policies and procedures for Technical Services Department.
  • Assists in maintaining the accuracy and integrity of bibliographic and authority records in the online catalog.
  • Performs elementary descriptive cataloging.
  • Performs elementary descriptive cataloguing using Mandarin Integrated Library System.
  • Oversee processing of books.
  • Produce shelf-list cards and spine labels and maintain manual shelf-list.
  • Update holdings data to reflect material transfer, withdraw and added.
  • Maintain accurate records of location and status of all library items.
  • Maintain monthly records of additions and deletions to the Cataloguing Database.
  • Support in maintaining statistics and preparation of reports related to cataloging and processing materials for the Annual Report.
  • Assist in conduction of inventory and weeding of the collection.

 REQUIRED KNOWLEDGE & EXPERIENCE

  • Associate degree /Diploma/Certificate in Library Information Science or equivalent from an accredited institution.
  • At least 2 years working experience in a library.
  • Practical experience in an academic library environment.
  • Proficiency in Microsoft Suite.
  • Computing experience includes scanning and digitizing, record uploading, use of networked resources

  • Knowledge of automated systems as they apply to book processing.
  • Knowledge of cataloguing books and other materials.
  • Ability to maintain library records and carry out library procedures.
  • Knowledge of library clerical procedures and practices.
  • Knowledge of Record Management System.
  • Ability to record and transcribe minutes of meetings.
  • Ability to maintain calendars and schedule appointments.
  • Ability to work under pressure and meet deadlines
