Legal Secretary

Salary; $7,500.00 - $8,000.00
Location : St Clair

Job Description: We are looking for a specialized Legal Secretary to undertake a variety of administrative and clerical tasks that will work under the supervision of an attorney and also provide support in assigned legal cases. The goal is to sustain efficiency of all office procedures and case management so as to guarantee reliability and consistency.

Responsibilities

Provide administrative support to one or more lawyers such as assisting in planning appointments, board meetings, conferences etc.

Co-ordinating with colleagues and maintaining up to date manual and electronic systems including:

• any case record system in use;

• handling and prioritising all outgoing or incoming correspondence (Court papers, e-mail, letters, packages etc.);

• Maintain electronic and paper records ensuring information is organized and easily accessible;

• Effectively communicate with witnesses, clients and colleagues;

• Greet visitors and perform initial screening of clients;

• Attend trials and meetings and type minutes as may be required;

• File various legal documents such as pleadings, appeals and applications when required;

• Answer and screen phone calls, take notes/messages and redirect calls when appropriate;

• Maintain and update inventories of contact details;

• Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders;

• Make travel arrangements for attorneys;

• Handle confidential documents ensuring they remain secure;

• Prepare invoices and provide assistance in book keeping;

• Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.

Academic Qualification:

A minimum of 5 CXC passes inclusive of Mathematics & English, Paralegal Certification or an LLB Degree.

Two years experience in similar role. Knowledge of Corporate Law is an asset

Proficiency in the use of Microsoft Suite.
