Legal Secretary

LEGAL SECRETARY

Key Responsibilities:

  1. Personalized Administrative Support:
    • Managing the lawyer's schedule, including arranging personal appointments, meetings, and travel arrangements.
    • Handling confidential personal documents, such as financial records, and managing personal correspondences.
    • Ensuring the lawyer's personal and professional calendars are coordinated to prevent conflicts.
  2. Legal Document Management:
    • Typing, proofreading, and formatting legal documents, such as contracts, specific to the lawyer's practice area.
    • Organizing and filing documents and associated materials, maintaining both physical and electronic filing systems.
  3. Client and Correspondence Management:
    • Acting as the first point of contact for clients, scheduling meetings, and handling follow-up communication.
    • Screening phone calls, handling inquiries, and relaying important messages to the lawyer.
  4. Legal –Property, Commercial, General:
    • Preparing draft Sale and Purchase Agreements and Conveyances;
    • Preparing draft Mortgages and Debentures, and other loan documents for review by lawyer.
    • Asset Sale and Purchase Transactions, Amalgamations, Mergers and Acquisitions,
    • Landlord and Tenant and general contracts
  5. Other Documentation:
    • Preparing reports, drafting routine correspondence, and transcribing dictations.

Skills Required:

  • Legal Knowledge and Confidentiality: Strong understanding of legal terminology and procedures, with the ability to maintain high levels of confidentiality for both personal and professional matters.
  • Time Management and Multitasking: Proven ability to manage both personal and professional tasks for the lawyer, prioritizing conflicting demands efficiently.
  • Communication Skills: Excellent written and verbal communication skills for managing client interactions and drafting correspondence.
  • Technical Proficiency: Proficient in MS Office.

 

Experience & Education:

  • A minimum of 5 years of experience working as a Legal Secretary preferably in a firm environment
  • A diploma or certification in Legal Secretarial Studies or Business Administration is an advantage. A solid background in property and commercial transactions is required.
