Legal Secretary/Assistant

Are you an experienced legal professional with strong organizational skills and attention to detail? A growing commercial law firm in Kingston, Jamaica is seeking a Legal Secretary/Assistant to join their team. This role is ideal for a motivated individual with legal knowledge and administrative expertise who thrives in a fast-paced environment.

Key Responsibilities:

Legal Document Management:

  • Proofread, format, and manage legal documents, including contracts and compliance filings.
  • Organize and maintain both physical and electronic filing systems.

Client and Correspondence Management:

  • Prepare engagement documents and handle client onboarding.
  • Assist with corporate, commercial, and intellectual property filings.
  • Manage compliance calendars and docket trademarks for clients.

Administrative & Support Duties:

  • Draft routine correspondence and prepare reports.
  • Provide administrative support to ensure smooth office operations.

Required Skills & Competencies:

  • Legal Knowledge & Confidentiality: Strong understanding of legal terminology and confidentiality protocols.
  • Time Management & Multitasking: Ability to organize cases and create workflow systems.
  • Communication Skills: Excellent written and verbal communication for client interactions and document preparation.
  • Technical Proficiency: Proficient in Microsoft Office and legal practice management software.

Qualifications & Experience:

  • Minimum 3 years of experience as a Legal Secretary, preferably in a law firm or statutory body.
  • Working knowledge of interactions with the Stamp Office, Titles Office, Jamaica Intellectual Property Office (JIPO), and Companies Office of Jamaica.
  • Diploma or certification in Paralegal Studies is an advantage.
