Legal Assistant to Senior Attorney at Law

Job Description

Reports To : Attorney at Law
Salary : $7000.00

Job Description

Duties and Responsibilities
 

  • Diarising matter-specific deadlines, court hearings, meetings, and appointments for Attorney at Law, and keeping the calendar up to date;
  • Managing and preparing files for virtual and in person court hearings and meetings;
  • Assisting with setting up equipment for virtual court hearings and meetings when necessary;
  • Monitoring calendar, and liaising with Attorney at Law on upcoming deadline dates by issuing written and verbal reminders;
  • Receiving documents and/or briefs from attorneys at law and/or clients, and requesting documents relative to active matters on behalf of Attorney at Law when necessary;
  • Updating hard- and softcopy files;
  • Drafting general correspondence and issuing same on Attorney at Law’s behalf;
  • Drafting invoice narratives, issuing signed invoices on behalf of Attorney at Law, and communicating with instructing firms and bank personnel;
  • Keeping an up-to-date record of outstanding invoices, payments, and office expenses;
  • Following up on outstanding Accounts Receivable;
  • Preparation of VAT returns and assisting with Income Tax returns, including arranging necessary paperwork for the respective bi-monthly and quarterly payments on behalf of Attorney at Law;
  • General clerical work, including visiting the BIR, NIB, and other offices to make payments as the need arises;
  • General office management, including managing office supplies and answering enquiries from callers and visitors;
  • Printing, scanning, copying, and binding documents when necessary;
  • Assisting with booking flights and accommodation for Attorney at Law.
 
Qualifications and Experience
  1. A minimum of 2 years’ relevant work experience;
  2. A minimum of 5 CSEC passes, inclusive of English A and Mathematics;
  3. A Bachelor of Laws or any other relevant training and/or certification will be considered for the role;
  4. Ability to maintain a high level of confidentiality;
  5. Excellent verbal and written communication skills – strong grammar, spelling, and language skills;
  6. Computer literacy – ability to navigate and effectively use Microsoft Office (Word, Excel, PowerPoint, Teams etc.), Adobe Acrobat, email, file storage software, and search engines;
  7. Excellent organisational skills;
  8. Ability to demonstrate a high level of initiative, particularly in relation to being proactive in providing support to Attorney at Law;
  9. Familiarity with legal jargon, documents, procedures, and court systems, particularly within the civil sphere.
