Our client, Amera Caribbean Development Ltd is seeking to fill the position of Leasing Agent.

JOB SUMMARY

This role will be instrumental in driving leasing activities, ensuring that properties are marketed effectively, and maintaining strong relationships with landlords, tenants, and real estate brokers. The ideal candidate will be responsible for market analysis, tenant vetting, lease management, and ongoing tenant relations, ensuring smooth transactions and compliance with legal requirements.

 

DUTIES & RESPONSIBILITIES

  • Market Analysis & Pricing:
    • Conduct comprehensive market analysis to stay informed about competitive rental rates for similar properties.
    • Advise landlords on competitive rental prices and recommend appropriate rental rates based on market conditions.
  • Marketing & Advertising:
    • Develop and maintain marketing materials, including floor plans, professional photographs, and promotional videos for listed properties.
    • Assist in the design of effective advertising campaigns across various platforms, including media outlets, social media, and print.
  • Tenant Relations & Communication:
    • Respond promptly to all inquiries received through phone, social media, and in-person communications.
    • Build and maintain a strong network with real estate brokers to enhance leasing opportunities.
    • Conduct property viewings for prospective tenants, showcasing the unique features and benefits of each space.
    • Gather and document potential tenant information, including business intentions and operational history, to assess fit and suitability.
  • Lease Negotiations & Documentation:
    • Present all written offers to landlords, highlighting the most attractive options based on tenant suitability and market conditions.
    • Prepare Letters of Intent (LOI) and tenant deal sheets for landlord approval.
    • Forward all pertinent tenant information and deal sheets to relevant personnel for lease preparation.
  • Know Your Customer Management:
    • Distribute blank Know Your Customer (KYC) forms to prospective tenants and collect completed forms and supporting documents.
    • Conduct thorough vetting of KYC submissions to ensure compliance with Financial Intelligence Unit (FIU) regulations, submitting verified forms to the Company Compliance Officer for approval prior to lease finalisation.
  • Lease Preparation & Approval:
    • Draft leases in alignment with Letters of Intent (LOI) or deal sheets.
    • Secure landlord approval on lease documents.
    • Facilitate tenant review of lease agreements, addressing comments and inquiries, and ensuring lease signing by the tenant.
  • Compliance & Registration:
    • Coordinate with landlords to obtain lease approval and signatures post-tenant execution.
    • Register qualifying leases with the Property Division of Legal Affairs and the Board of Inland Revenue for stamp duty purposes.
  • Facilities Coordination:
    • Forward tenant deal sheets to the facilities manager to prepare tenant spaces accordingly.
    • Collect and file required documents from tenants, including contracts for HVAC maintenance and insurance.
    • Gather drawings and renovation plans from tenants, liaising with facility management as necessary.
  • Communication & Documentation:
    • Extract and summarize Lessee and Lessor responsibilities from leases into a bullet point format for property manager reference.
    • Collaborate with facility managers to ensure proper property handover, including inspections and completion of relevant forms with tenants.
    • Manage security deposits by collecting them and submitting to the accounting department.
  • Ongoing Tenant Relations:
    • Address tenant inquiries and communications related to their leases throughout the lease term.
    • Maintain organized lease files for each tenant and ensure communication is accessible to landlords.
  • Reporting & Alerts:
    • Maintain and update vacancy and rent rolls for each property.
    • Notify landlords six months prior to lease expirations and due lease options.
  • Lease Options & Renewals:
    • Execute all lease options and renewals.
    • Prepare renewal forms and adjust tenant rent change requests, securing necessary signatures from landlords’ representatives.
    • Submit signed renewal and adjustment forms to property management.

 

QUALIFICATIONS AND EXPERIENCE

  • Proven experience as a leasing agent or in a similar role within the real estate industry.
  • In-depth knowledge of market trends, rental pricing, and property management processes.
  • Familiarity with lease agreements, legal compliance, and property regulations.
