Job Summary:

Guardsman Group Limited is seeking a Kennel Administrator to oversee the daily operations of the Kennel Department, ensuring efficiency in staff supervision, administrative management, and canine welfare. This role requires a highly organized and proactive individual who can balance operational and administrative responsibilities while maintaining compliance with safety and animal welfare standards.

Key Responsibilities:

Supervision & Operational Coordination

  • Oversee and manage Kennel Assistants, Canine Drivers, and Canine Trainers.
  • Monitor staff schedules, attendance, overtime, and leave records.
  • Ensure the health, welfare, and safety of all canines, coordinating veterinary care as needed.
  • Monitor canine locations, track special assignments, and maintain accurate movement records.
  • Ensure compliance with all safety regulations and animal welfare guidelines.
  • Source and procure supplies for kennel operations to maintain efficiency.

Administrative & Record-Keeping

  • Maintain databases and filing systems for staff, canines, and departmental operations.
  • Draft and manage correspondence, reports, and financial documents (e.g., purchase orders, travel forms, and subsistence requests).
  • Answer and handle inquiries from internal and external stakeholders.
  • Ensure proper documentation and compliance with HR and operational policies.

Performance Monitoring & Compliance

  • Conduct regular audits and inspections to maintain operational excellence.
  • Ensure that all staff adhere to safety protocols and best practices in canine care.
  • Track and document canine health, behavioral assessments, and training records.
  • Monitor and report any incidents, infractions, or operational challenges to management.

What We’re Looking For:

Strong leadership and team management skills to effectively oversee staff.
✔ Excellent communication and problem-solving abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to multi-task, prioritize responsibilities, and adapt to a fast-paced environment.
Comfortable working with canines and ensuring their well-being.
High attention to detail and organizational skills to manage both administrative and operational duties.

Minimum Qualifications & Experience:

📌 Associate Degree in Veterinary Science, Business Administration, or a related field (or equivalent experience).
📌 At least 2 years’ experience in a similar administrative or supervisory role.
📌 Experience in record-keeping, scheduling, and administrative management.

Work Conditions & Schedule:

  • Work Hours: Monday – Friday, 8:30 AM – 4:30 PM.
  • Regular interaction with canines, including exposure to animal-related environments.
  • Occasional weekend or evening work may be required based on operational needs.
  • A mix of office administration and hands-on kennel duties in varying weather conditions.
