Job Summary

The Institutional Effectiveness Administrative Officer will be responsible for implementing all Institutional Effectiveness efforts within the University of the Commonwealth Caribbean (UCC). He or she will work with the Executive Vice President for Institutional Effectiveness and the Quality Assurance Manager to implement Institutional Effectiveness (IE) and Quality Assurance practices across all units of the institution. This role provides support towards the successful implementation of UCC’s Strategic and Operational Plans, Internal Quality Assurance (IQA) Portfolio as well as the award and retention of accreditation by the University Council of Jamaica (UCJ) and other independent accrediting bodies.

Duties and Responsibilities

Provide administrative support for the following:

  • The Office of Institutional Effectiveness.
  • Implementation of Institutional Effectiveness and Quality Assurance processes and systems consistent with the highest benchmarked tertiary education standards.
  • Strategic and Operational planning
  • Information usage at the University of the Commonwealth Caribbean (UCC). 
  • Collection, collation, presentation and dissemination of data to all UCC managers to faciltate data-based decision making
  • Institutional Research as well as monitoring and evaluation of key University functions, including financial, enrolment management, facility use, teaching/learning, research infrastructure, and quality assurance at the institutional level.
  • Improvement of programme efficiency and effectiveness throughout the University; as well as with leadership to identify the University’s strategic needs.
  • Enhancement of the effectiveness of administrative units, with an emphasis on quality assurance, as well as monitoring and evaluation for continuous improvement
  • Actualization of the institutional mission and achievement of the level of excellence for which the UCC strives.
  • Systematically work to help build a culture of continuous improvement and quality assurance across the UCC.
  • Monitoring and update of the Gap Analysis
  • Ensure that institutional Standard Operating Procedures are established, consistently evaluated, updated and adhered to.
  • Monitoring and update of the Risk Register
  • Monitoring and Update of the Policies and Procedures Manual
  • Oversight of the Monitoring and Evaluation Reports
  • Communication with both internal and external stakeholders
  • Compilation of Reports for both internal and external stakeholders
  • Arrange the monthly meeting of the Institutional Effectiveness Council

Work with the Quality Assurance Office to ensure:

  • Regular reviews to ensure that the institution’s educational strategies, activities, processes, and technologies to enhance teaching and student learning are in place and consistently achieving its goals.
  • A process for the monitoring and review of Program Learning Outcomes (PLO) and Course Learning Outcomes (CLO), and the assessments used to determine student attainment of the identified Learning Outcomes.
  • The development and implementation of systems for monitoring institutional compliance with the Quality Assurance Agency (QAA) Academic Infrastructure including accreditation of prior and experiential learning, benchmark statements; UCJ quality code; framework for higher education qualifications; programme specifications; progress files in higher education.
  • All other duties as assigned.

Qualifications & Requirements:

  • Degree in Educational Leadership and Administration, Services Management, Business Administration or any related field. A Masters Degree would be an asset
  • At least five (5) years of experience in the field or related field.
