The Human Resources Benefits Administrator is responsible for overseeing the entire employee lifecycle for compensation, benefits administration, employment contracts, data management, etc. While we appreciate all applications only shortlisted applicants will be contacted.

Purpose:

The Human Resources Benefits Administrator is a key member of the Human Resources department, responsible for overseeing the entire employee lifecycle as it pertains to compensation, benefits administration, employment contracts, data management, and elements of disciplinary hearings. This role is integral to ensuring the organization's HR functions are conducted efficiently, in compliance with laws and policies, and in a manner that ensures high employee engagement and satisfaction.

 

JOB SPECIFICATIONS

 

Academic Qualification:

  • Tertiary-level education preferably Bachelor's degree or equivalent in Human Resources, Management, Business Administration or related discipline.

 

Skills / Experience:

  • Minimum 2 years’ experience working in a medium to large retail/commercial operation
  • Proven experience in HR, particularly in benefits administration and payroll
  • Strong knowledge of employment laws and regulations
  • Excellent organizational and time management skills
  • Detail-oriented and able to handle sensitive and confidential information.
  • Strong communication and interpersonal skills.
  • Proficiency in HR software and Microsoft Office applications.
  • Ability to work independently and as part of a team.
  • Problem-solving and conflict resolution skills.

 

DUTIES & RESPONSIBILITIES

Data And HRIS System Management

  • Update HRPlus with accurate data of starters, leavers, job changes, pay changes, and/or any changes presented during the employee life cycle
  • Manage and maintain complete and accurate data for all employees.

 

Payroll Administration

  • Maintains payroll master file to ensure accurate and timely payments to staff
  • Set up new employees and remove terminated employees from the relevant payroll.
  • Partner with department leads to collate payroll templates for salary upload
  • Provide HRIS access to allow for viewing of payslips, benefits and/or handle any other self-serve related transactions

 

Employee Benefits

  • Manage employee benefit enrolment and termination. Ensure all employee benefit information is accurate and up to date, including (not limited to) that for: Group Life, Health, Pension
  • Administer, manage, track employee leave programs
  • Provide guidance (as required) on leave and/or benefits requests
  • Keep track of and maintains database with employee allowances and other benefits e.g. uniforms, lunch etc.
  • Review and identify employees’ eligibility for staff loans and share with the Credit team in accordance with the established policies and guidelines.
  • Participate in the development and implementation of policies and procedures related to employee benefits

 

HR Administration

  • Responds to employee queries related to HR policies, benefits, payroll, and other related matters, or routing them to the appropriate person for resolution
  • Maintaining employee files and ensuring all HR documents are accurate, up-to-date, and confidential
  • Receive and processes request for employment letters. Prepare, review, and maintain employment contracts for all employees
  • Oversee the offboarding process, including documentation and compliance with company policies
  • Assist in coordinating disciplinary hearings and related processes, ensuring fairness and adherence to company policies.
  • Document and maintain records of disciplinary actions and outcomes.
  • Assisting with the onboarding process e.g. related to system accesses, background checks etc.

 

Craft written communication of change/s during employee life cycle e.g. employee confirmation, salary increase, title change, promotion etc. Human Resource Benefits Administrator
