The HR Officer will implement, optimize and lead best in class policies, procedures, systems and practices in all aspects of the employee lifecycle.

Job Summary

 

The HR Officer will implement, optimize and lead best in class policies, procedures, systems and practices in all aspects of the employee lifecycle including Internal Communications, Culture, Organizational Design, Recruitment & Selection, Compensation & Benefits, Learning & Development, Talent and Succession Management, Performance Management, Employee Engagement and Employee Relations, including disciplinary and grievance related issues for the assigned location.

 

Major Responsibilities

 

Recruitment & Onboarding

  • Collaborate with the People & Culture team to ascertain and meet the talent acquisition and onboarding needs per the approved standard and guidelines as per your assigned location
  • Work with Hiring Managers and the People and Culture team to develop the required job descriptions and assessment tools for the assigned location
  • Work with the People & Culture team and Hiring Manager to ensure that the best candidates are selected
  • Work with the People and Culture team to plan and conducts new employee onboarding and orientation to foster CBL citizenship and the highest levels of employee engagement
  • Work with the People & Culture team to manage employee probation and appraisal system following CBLs policies and best practice
  • Drives adherence to talent acquisition and onboarding program processes, procedures, methods, and standards for program delivery and leverage for your location
  • Work with the People & Culture to track talent acquisition and onboarding metrics and identify opportunities for improvement
  • Liaise with the People and Culture team to announce new hires

 

Learning & Development

  • Work with the People & Culture team to administer the CBLs Performance Management process (the PMA & OPR) and make recommendations for improvement to the tools and/or process as required
  • Ensures that the cycle of performance and goal evaluation is completed for all employees as per Company Guidelines for your respective location
  • Work with the People and Culture team and leadership to identify high potential team members and process for developing employees to increase performance
  • Work with the People & Culture team to administer performance review programmes to ensure effectiveness, compliance and equity at all levels
  • Drive performance culture by working with the People & Culture Team to support leaders to develop and implement the interventions to address employee performance issues as per CBLs policies and best practices
  • Partners with leaders in the assigned location to execute the CBLs talent agenda
  • Work with the People & Culture Manager to lead effective succession planning within the assigned location
  • Work with the People & Culture team to plan, coordinate and deliver learning and development activities as required

 

Compensation and Benefits Administration:

  • Ensures that all eligible employees are offered admittance into the CBL’s Life & Medical Insurance Plan at the time of eligibility. This includes, but is not limited to, ensuring that all required forms are completed and dispatched on time
  • Authorises all claim forms submitted to the Head Office team (Human Resource & Communications Department) and dispatches same on time, ensuring that a copy of the claim form and supporting documents is kept in the respective employee’s file
  • Liaises with HR Comp and Bens team to resolve any queries related to the plan that may arise
  • Distributes cheques and other correspondence received from the Insurance Company to the relevant members of staff on time, ensuring that a copy of all correspondence is kept in the employee’s file
  • Provides feedback to staff as required on any queries related to the Life & Medical plan
  • Ensures that the location’s payroll is processed accurately and in keeping with the established schedules.
  • Verifies that all information related to the payroll process is submitted by the given deadline each month. This includes, but is not limited to New Hires, Staff Terminations, Incentives, Bonus Payments; No Pay Leave Deductions
  • Ensures that all relevant information is submitted to payroll for statutory deductions, including but not limited to, NIS, PAYE, Health Surcharge, and Approved Financial Institution Deductions
  • Ensures that cheque requisitions related to the payroll process are submitted to the Accounts Payables Department on time, and follows up on the preparation of the relevant cheque payments as required
  • Distributes all documents related to the payroll process including but not limited to payslips and other information as required

 

Employee/Industrial Relations:

  • Advise leadership in appropriate resolution of employee relations issues as required
  • Work with the People & Culture Team to monitor staff morale and contributes through the provision of employee relations services, conflict resolution and counselling
  • Supports the leadership team with all grievance and disciplinary issues within the assigned location
  • Provide support in the promotion of a safety-conscious environment at all times
  • Assists with the monitoring and compliance of health & safety issues among employees
  • Work with the People & Culture team to prepare employee separation notices and related documentation as required in the case of employee exits, and ensures that all relevant stakeholders are advised
  • Work with the People & Culture team to conduct exit interviews for all employee exits to identify trends and improve our employee experience

 

Engagement & Internal Comms

  • Work with the People & Culture team to ensure transparency and timely submission of information for reward & recognition programme to recognize top-performing employees
  • Disseminates critical information to all employees using the appropriate medium, including but not limited to, notice board, email, intranet, and meetings, as required for the assigned location
  • Collaborate with the wider HR team in the execution of CBL’s rewards and recognition programme, ensuring timely selections and award
  • Support annual OHI/Temperature Checks process to ensure maximum participation and subsequent communication of results to all team members across the business; follow up to ensure that all resulting actions are executed on time
  • Support the planning and execution of all employee activities such as staff meetings, management retreats, employee launches and other employee events.
  • Collaborate on the execution of employee engagement activities associated with health and wellness

 

Other:

  • Generates H.R. related correspondence, such as job letters and memorandums, as requested
  • Generates all required reports and submits same to the relevant stakeholders in keeping with established schedules
  • Adheres to CBL’s policies and procedures, inclusive of but not limited to the HR policies & procedures, policy on Health and Safety, Quality and standard operating procedures
  • Participate in the annual budgeting process and collaborate with the wider HR team to ensure the department achieves its Opex budgeted targets
  • Participate as a resource to support policy, program and procedure development as well as legal and compliance issues and other HR projects as required

 

Academic qualifications and experience required for the job:

 

  • B.Sc. Degree in Management Studies, Human Resource Management or a related Social Sciences field
  • 2-3  years’ experience in Human Resource Management
  • Working knowledge of project management techniques
  • Post Graduate Qualification in HR or Management would be an asset
  • Sound working knowledge of employment practices and labour laws
  • Advance working knowledge of MC Word, Excel, PowerPoint
  • Ability to exercise considerable judgment and discretion in establishing and maintaining the company’s policies and procedures while ensuring we maintain a positive working environment.
  • Excellent communication skills with an ability to tailor messages for both business and technical audiences; comfort in addressing informal team meetings and delivering prepared presentations to executives/external audiences
