SUMMARY: Oversees various employee programs primarily to support employee engagement, well-being, recognition, benefits, and corporate social responsibility; Gathers feedback through focus groups, exit interviews and surveys; Handles other key tasks within the HR department which promote productivity, retention and a positive workplace environment at the Jamaica Center.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  1. Benefits
  • Manage the setup, tracking, and notifications for employee insurance and pension benefits.
  • Ensure all employees are enrolled in the correct insurance plans and provide updates as necessary; provide guidance on eligibility as needed.
  • Research potential new benefits and propose them to leadership.
  • Stay current on trends to ensure the company’s benefits package remains competitive.
  • Oversee and manage the center’s tuition reimbursement program; Create ongoing education, manage participation, tracking, eligibility and deadlines.
  • Serve as a liaison between employees and the U.S. Benefits team to resolve issues and ensure benefits are properly managed.
  • Assist with related reporting and resolution on topics such as LOA, vacation time, etc. when needed.
  1. Employee Well-Being
  • Promote and educate employees on resources including the Employee Assistance Program (EAP) and Employee Wellness Connection (EWC).
  • Own the Wellness Plans - Develop, implement, and oversee the center’s wellness programs, promoting well-being initiatives and tracking participation.
  1. Travel/Transportation/Hospitality
  • Arrange travel accommodations and visa processing for employees traveling internationally; Ensure compliance with company travel policies and government regulations.
  • Assist with inspection and needs of corporate housing to ensure quality hospitality and compliance.
  • Coordinate transportation for employees, especially for company-related events.
  1. Engagement Activities
  • Plan, coordinate, publicize and execute monthly employee engagement activities aligned with company culture and goals; Coordinate as directed with global team.
  • Coordinate employee Rewards & Recognition & Rewards ceremony including gathering quotes, making purchases, coordinating with the company’s Unique Boutique team, publicity and facilitation.
  1. CSR/Give Back Planning, Communication, Tracking
  • Coordinate Corporate Social Responsibility (CSR) initiatives and employee “give back” programs.
  • Track participation and communicate outcomes to the team, ensuring the monthly CSR summary report is submitted.
  1. Newsletter Articles/Pictures
  • Write and contribute articles for the company newsletter; Capture and include photos of company events, activities, and initiatives.
  1. Gather Feedback
  • Organize and facilitate focus groups; compile, analyze and communicate results.
  • Conduct exit interviews.
  1. Winning Culture Survey  
  • Lead center efforts to educate and promote the survey; track employee participation; Assist with sharing results.  
  • Facilitate the WCS Task Force to address employee needs, concerns, and improvements;  Collaborate with cross-functional teams to implement solutions.
  1. Inspecting/Walking Around the Floor
  • Conduct regular walk-arounds to check on the workplace environment (culture, safety, policies, company standards).
  • Address any employee concerns raised during floor inspections.
  • Perform regular clean desk audits.
  1. Travel/Transportation/Hospitality
  • Arrange travel accommodations and visa processing for employees traveling internationally; Ensure compliance with company travel policies and government regulations.
  • Assist with inspection and needs of corporate housing to ensure quality hospitality and compliance.
  • Coordinate transportation (bus schedules, airport pick up) for employees, especially for company-related events.
  1. Onboarding Assistance
  • Assist in conducting new employee orientation when needed.
  • Assist the HR Manager with onboarding/promotions of new leadership staff; Complete the leadership onboarding checklist; Coordinate registration and reminders for New Leader Assimilation, and other professional development.
  1. Agent Concerns
  • Address and resolve concerns raised by employees which are within scope of knowledge and responsibilities; Provide support and guidance on workplace-related issues.
  1. Aspiring Leader Sign-ups
  • Oversee the sign-up process for the Aspiring Leader program.
  • Ensure that interested employees are properly registered and informed about program requirements.
  1. Coordinate Annual Initiatives
  • Annual Handbook Acknowledgement project - Ensure that all employees acknowledge the annual employee handbook update; Track acknowledgments and follow up on any missing submissions.
  • Annual Job Description updates project – Coordinate the review and update of the center’s job descriptions for all roles annually.
  1. Annual Forms & Process Review
  • Participate in the annual review of the employee handbook and related forms; Regularly review processes and update them as per audit recommendations.
  • Coordinate communication of updated policies or forms as needed.
  1. Administrative Support
  • Assist with administrative duties such as answering phones and greeting visitors, providing back-up support to the Receptionist when needed.
  • Gather quotes/pricing for resources and services needed at the center.
  • Coordinate with vendors and ensure timely delivery.
  • Assist the HR team in any way based on knowledge and skills, as directed.
  1. Conduct New Leader Assimilation
  • Become a SME (subject-matter expert) able to conduct the HR and Benefits portion of New Leader Assimilation to educate new leaders on HR policies, benefits, and the importance of employee well-being.
  1. Career Roadmaps
  • Assist employees in completing career roadmaps; May assist in creating and updating roadmaps.

SUPERVISORY RESPONSIBILITIES

No supervisor responsibility. Has no direct reports.

 

Knowledge of:

Applicable labor, pay, and employment laws; Computer programs including Word, Excel, Power Point, and Outlook; Payroll/employee systems; telephone system and its' functions; copier/scanner/printer. Company policies and procedures as outlined in Employee Handbook and Leadership Manual; General knowledge of Human Resources; Working knowledge of employment-related laws and practices; All company benefits; Trends in employee relations and benefit administration and human relations in order to communicate with all levels of employees.

 

Ability to:

EDUCATION and/or EXPERIENCE

Bachelor’s degree preferred; or two years related experience and/or training in Human Resources; or equivalent combination of education and experience. Previous HR experience required. Previous benefits administration or payroll experience a plus. Current applicable HR certification preferred or current enrollment in a study program for HR certification preferred but not required. Previous call center or BPO experience is a plus.

 

LANGUAGE SKILLS

Ability to read, analyze, and interpret common industry and technical journals, financial reports, and legal documents.  Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.  Ability to write speeches and articles for publication that conform to prescribed style and format.  Ability to speak effectively and use proper grammar with groups to effectively present information to top management, public groups, and/or boards of directors.

 

MATHEMATICAL SKILLS

Ability to apply advanced mathematical concepts.  Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory, and factor analysis.

 

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

Valid driver’s license/Government ID.

Preferred, but not required: Certified in Employee Law, Professional Human Resources
