We are seeking a motivated and detail-oriented HR Assistant to support our Human Resources department. The ideal candidate will assist with various HR functions, ensuring smooth daily operations and positive employee experience.

CORE DUTIES AND ACCOUNTABILITIES:
General: The Human Resources Assistant provides essential administrative and operational support to
the Human Resources (HR) department. This role is responsible for assisting with recruitment and
onboarding, employee engagement and relations, training and development coordination, HR compliance,
and general administrative duties. The HR Assistant plays a key role in ensuring efficient HR operations
and contributing to a positive employee experience.

Specific Responsibilities & Accountabilities: (Non-exhaustive)

Key Responsibilities:

A. Recruitment & Onboarding
  1. Assist in posting job advertisements and maintaining candidate databases.
  2. Support the shortlisting of candidates and coordinate interview schedules.
  3. Prepare interview packages and ensure all logistics are in place for interviews.
  4. Assist with onboarding activities including document collection, employee orientation, and follow-up.
B. Employee Relations & Engagement
  1. Track and maintain records of employee concerns, grievances, and feedback.
  2. Provide administrative support for employee engagement activities and surveys.
  3. Assist in organizing staff welfare and team-building initiatives to promote a positive workplace culture.
C. Training & Development
  1. Coordinate logistics for internal and external training programs (venue, materials, attendance).
  2. Maintain up-to-date records of employee training and development plans.
  3. Support in tracking training attendance, feedback, and completion status.
D. Administrative & Clerical Support
  1. Prepare and issue job letters and other HR-related correspondence.
Position Description – Human Resources Assistant
  1. Generate monthly reports on attendance, punctuality, and outstanding vacation.
  2. Assist in compiling Lock-up Reports and maintaining HR filing systems.
  3. Perform data entry and ensure proper organization of employee information and records.
E. Compliance & Industrial Relations Support
  1. Ensure employees acknowledge and understand company policies and procedures.
  2. Assist in drafting warning letters, disciplinary documentation, and maintaining proper records.
  3. Provide support in ensuring compliance with labour laws and internal policies.
Qualifications & Experience:

• Associate Degree or Diploma in Human Resource Management, Business Administration, or
related field.
• Minimum 1–2 years’ experience in a similar administrative or HR support role.
• Strong organizational and time-management skills with attention to detail.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Familiarity with HRIS systems is an asset.
• Excellent written and verbal communication skills.
