The HRA is responsible for the daily administrative duties of the HR Department to ensure efficient operations. The incumbent will support the team in all functional areas of Human Resources including Recruitment & Selection, Training & Development, Performance Management and Employee Relations.

KEY RESPONSIBILITIES:

  • Recruitment: Provide administrative support to ensure compliance with our established Recruitment Policy and Procedures which includes but is not limited to the following: advertising of vacancies; arranging interviews; psychometric assessments as appropriate; verifying educational certificates; arranging pre-employment medicals; preparing the employment contract and developing personnel files etc
  •  Employee Benefits Programme: Manage the administrative process which includes completion and submission of forms for our Employee Benefits Programmes which includes: our Group Health/Life Plans/Annuity Plans/ EAP/ NIS/ Workmen's Compensation/Meal Voucher/ Mobile Phone Overages/ Soft Loans programmes etc. and liaising with both providers and employees regarding processing of claims and receipt of benefits etc. Key focus will be supporting the HR Officer in populating the Annual Vacation Roster through submissions from leaders throughout the business and monthly monitoring and initiate escalations where there is non-compliance.
  • Employee Engagement: Support the organisation’s initiatives to build our employee satisfaction levels through: logistical arrangements for and attendance at Company events and engagement activities; coordinating Employee Engagement Surveys and logistical support for the execution of the Employee Recognition Programme.
  • Employee Onboarding & Offboarding: Ensure that new hires have all the necessary tools and information to be properly integrated into our business through completion and execution of the New Hire Resourcing Form. In the case of exiting employees, ensure that there is compliance with the Company’s Offboarding procedures.
  • Contract Administration: Preparation of all contracts (employment and others) as well as all other official communications.
  • Compensation Administration: Support all compensation projects by initially building of spreadsheets and databases and documenting all decisions through preparation of correspondence related to salary adjustments, promotions, transfers etc.
  • Procurement and Sourcing: Support the Procurement of Services Programme through Sourcing of Vendors, Obtaining Quotations and creating Requisitions
  • HR Reporting and Metrics: Support the HR department in creating and updating reports to support positively influencing decision-making including Performance Ratings, Training Feedback Reports etc.
  • Database Management and Administration: Responsible for electronic and hardcopy database management and administration with dedicated focus on ensuring that all records within our HRIS are current at all times.
  • Time & Attendance: Support decision-making related to people management programmes by running monthly reports on our Time & Attendance System and highlighting significant data requiring action.
QUALIFICATIONS & EXPERIENCE:
  • Bachelor's degree in Human Resources Management or Business Management with concentration in HRM
  • 1-2 years working experience in Human Resources
  • Experience working in a Manufacturing or Production environment is an asset
  • Proficient with Jantek and Microsoft Great Plains HRIS
  • High proficiency in MS Office - Excel, Word, PowerPoint and Outlook
