is responsible for managing the reception area and providing administrative support to ensure the smooth operation of the office. They serve as the first point of contact for the organization, creating a welcoming and professional environment.

Responsibilities:

  • Assist staff with expediting problem payments (e.g., problems processing credit cards).
  • Follow up with guests regarding satisfaction with guest-related issues.
  • Process all guest check-ins by confirming reservations, assigning rooms, and issuing and activating room keys.
  • Set up accurate accounts for each guest upon check-in (i.e., share with, separate room/tax/incidentals, comp).
  • Anticipate sold-out situations and obtain satisfactory alternative accommodations when the property cannot accommodate guests with reservations.
  • Contact the appropriate individual or department (e.g. Loss Prevention, Housekeeping) to resolve guest calls, requests, or problems.
  • Coordinate with Housekeeping to track the readiness of rooms for check-in.
  • Review shift logs/daily memo books and document pertinent information in logbooks.
  • Manage Guest Experience Systems.
  • Manage Market operations to ensure profitability.
  • Assist management in hiring, training, scheduling, evaluating, counseling, disciplining, motivating and coaching employees
  • Serve as a role model and first point of contact for the Guarantee of Fair Treatment/Open Door Policy process.
  • Report accidents, injuries, and unsafe work conditions to the manager; complete safety training and certifications.
  • Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information.
  • Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others.
  • Ensure adherence to quality expectations and standards.
  • Perform other reasonable job duties as requested

 

Qualifications & Experience

  • Associate's or Bachelor's degree in Business Administration, Hospitality, or a related field
  • Three (3) to five (5) years of experience as a Front Office Coordinator in a supervisory capacity
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with front office software or CRM systems is advantageous
  • Certificate in Supervisory Management will be considered an asset
  • Certificate in Health and Safety will be considered an asset
