                                             Externally: Suppliers – Local and International

 

GENERAL JOB PURPOSE/SUMMARY

 

We are seeking a strong leader who is a strategic thinker to join our company as Fleet Manager. Reporting to the CEO, this role “Primarily’ oversees the efficient operation of our company fleet as well as managing logistics/warehousing processes and optimizing the department operational efficiency to support the company’s growth and daily activities.

 

JOB SPECIFICATIONS

 

 

Fleet Management

  • Oversee the company’s entire fleet of vehicles, including purchasing or leasing new vehicles, disposing of old ones and managing vehicle inventory
  • Work with drivers to enable them to operate specialized equipment properly and provide assistance as needed when troubles develop on the road. Find qualified service to repair downed vehicles and obtain competitive bids for repairs.
  • Develop an effective Fleet Management and Inventory Management system for the company’s vehicles
  • Ensure a maintenance programme is maintained for all vehicles in a safe, efficient and cost-effective manner, scheduling routine maintenance, coordinating repairs with external service providers and tracking maintenance costs
  • Ensure all vehicles are properly licensed, registered, and insured
  • Develop and manage the fleet budget, including tracking expenses analyzing data and forecasting future costs
  • Develop and track performance metrics including fuel efficiency, vehicle utilization rates and maintenance costs
  • Generate regular reports on fleet performance, cost analysis, and key performance indicators. Analyze data to identify trends, patterns, and areas for improvement.
  • Develop and manage the fleet budget, including expenses related to vehicle acquisition, maintenance, repairs, fuel, and insurance. Identify opportunities for cost savings and implement measures to optimize fleet operations and reduce expenses.
  • Negotiate contracts, pricing, and service level agreements. Monitor vendor performance and ensure service quality and cost-effectiveness.
  • Promote policies and procedures that support environmental sustainability, such as reducing fuel consumption and identifying ways to decrease the carbon footprint of the fleet
  • Oversee the company’s vehicle procurement, leasing, and disposal processes.

Warehousing/Logistics

  • Oversee the operations of the plant to ensure effective and efficient use of space and time organizing and maintaining the warehouse layout, and setting up delivery and dispatch of systems


Administrative Responsibilities

  • Advise senior management and staff of changes to existing policies and procedures and implementation of new systems
  • Reinforce and mobilize department personnel to deal with issues of the department
  • Provides leadership to staff supervised through effective goal setting, delegation and communication
  • Prepares monthly management report on activities undertaken for the department
  • Analyze data to increase business operational efficiency
  • Producing Performance Appraisals for direct reports
  • Development of SOP for ISO: Quality Management

 

Perform other related functions and special projects as required from time to time to ensure the effective flow of operations.

 QUALIFICATIONS AND EXPERIENCE 

 

  • Bachelor’s Degree in Logistics and Supply Chain, Business Administration or equivalent qualifications
  • Training in Transport/Fleet Management
  • A minimum of two (2) years’ related experience in developing and implementing effective system and procedures for functional area
  • Proven experience as a Fleet Manager or a similar role in a distribution or logistics company

 

WORKING CONDITIONS AND PHYSICAL DEMANDS

  • Exposure to mental stress
  • May be required to work beyond normal working hours on occasions
  • Required to work any (5) days out of (7) days to include weekends
