We are seeking a skilled and dedicated Finance Operations Manager to oversee the finance department's operations. This role involves managing the Accounts Payable, Accounts Receivable, and Payroll departments, ensuring timely and accurate financial reporting, performance management, and interdepartmental collaboration. The Finance Operations Manager will work closely with senior management, supervise financial processes, and drive efficiency within the department.
KEY RESPONSIBILITIES AND DUTIES:
General Duties:
- Oversee the Accounts Payable, Receivables, and Payroll departments.
- Monitor departmental KPIs and prepare reviews for the CFO.
- Ensure the preparation and review of timely financial reports for senior management.
- Approve requisitions under $3k in accordance with company policy.
- Assist in staffing for schedule stock counts while adhering to month-end deadlines.
- Ensure effective leave management for all sub-units.
- Participate in inventory stock counts as needed.
- Assist with project closure or meet operational deadlines beyond regular working hours.
Accounts Payable Management:
- Collaborate with the Accounts Payable Supervisor to review cash flow projections and ensure sufficient funds are available.
- Verify and approve invoices for payment and improve departmental efficiency through new policies.
- Review financial reports related to accounts payable for month-end closing.
- Ensure timely processing of invoices and payments.
- Monitor KPIs such as Days Payable Outstanding (DPO) and Cost per Invoice Processed.
Payroll Management:
- Ensure accurate and timely payroll processing and compliance with local laws.
- Review and approve payroll transactions in the absence of the Payroll Supervisor.
- Address payroll discrepancies and assist with payroll analysis.
- Collaborate with HR and finance departments to streamline payroll processes.
Accounts Receivable Management:
- Oversee the operations of the accounts receivable team, minimizing outstanding debts and improving cash flow.
- Prepare monthly AR reports and work closely with the AR team for accurate month-end closings.
- Review customer accounts, settlement processes, and approve credit notes.
- Assist with the development of new software or tools to enhance AR processes.
People Management:
- Ensure compliance with Health, Safety, and Quality regulations.
- Supervise and lead a team, setting performance standards and completing performance reviews.
- Collaborate with HR in selecting, training, and managing team members.
Other Responsibilities:
- Perform additional tasks as directed by the Corporate CFO.
MINIMUM QUALIFICATIONS & EXPERIENCE:
- Professional certification (e.g., ACCA, CPA)
- Bachelor's degree in Accounting, Finance, or a related field may be considered as an alternative to ACCA Certification.
- Minimum of 5 years of experience in a finance management role, ideally with experience in Accounts Payable, Payroll, and Accounts Receivable.
- Strong leadership and people management skills.
- In-depth knowledge of financial software, preferably Epicor.
- Excellent analytical skills with the ability to manage multiple projects and deadlines.
- Strong communication skills, both verbal and written.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work under pressure and meet deadlines.
