Overview:

Our client is one of the longest-established real estate organizations in Barbados. Due to growth, they are seeking to employ a proven professional to add to the team. The focus of this role is to effectively manage various operational functions, including property maintenance, financial management, tenant relations, and compliance, ensuring the overall efficiency and value retention of the managed properties.

 

Duties & Responsibilities:

  • Prepare and implement procedures and systems within company guidelines to ensure an orderly, efficient, and prioritized workflow.
  • Oversee the maintenance of physical properties, including commercial offices, retail spaces, and residential communal areas.
  • Budget for, monitor, and control the expenses of property/(ies) in the portfolio.
  • Conduct monthly reviews of financial statements with the Department Manager.
  • Maintain accurate records of all quotations, invoices, authorizations, and actions taken in the FM Software.
  • Prepare and update the Property Manual, including audits, inventories, maintenance issues, capital replacements, and vendor documentation.
  • Develop and manage the Property Maintenance Schedule and preventative maintenance program in FM Software.
  • Monitor and analyze all utilities to ensure cost efficiency.
  • Ensure health, safety, and environmental requirements are met according to best practices and legislation.
  • Respond appropriately and promptly to emergencies or critical issues.
  • Develop and maintain relationships with owners (landlords/boards), tenants, subcontractors, and internal staff.
  • Address, resolve, and document all tenant and/or customer complaints in FM Software.
  • Assist with the hiring and evaluation of employees on the property.
  • Schedule and manage all human resources allocated to the property.
  • Source, negotiate, review, and manage service contracts.
  • Ensure adherence to property rules by owners and residents of residential properties.
  • Oversee corporate governance for Property Owner Associations (POAs) and Planned Unit Projects (PUPs).
  • Manage lease agreements and tenant relationships.
  • Foster a work environment that encourages high morale, productivity, and open communication.
  • Support staff development to align with personal career goals and organizational objectives.
  • Ensure quality client service delivery and overall client satisfaction.
  • Contribute to the financial growth of the organization and enhance service line profitability.
  • Adhere to company policies, procedures, and safety regulations.
  • Perform other related duties as required by management.
Requirements:
  • Associate’s degree in Facility Management, Maintenance Management, Engineering, or a related field.
  • Certification in Facility Management is an asset.
  • Knowledge of relevant legislation, codes, and best practice guides for the FM environment.
  • Strong numerical and financial awareness for facility management.
  • Proficiency in Microsoft Office Suite and FM Software.
  • Intermediary knowledge of accounting principles and practices.
  • Strong project management, analytical, and problem-solving skills.
  • Ability to read and interpret drawings.
  • Excellent time management, self-motivation, multitasking, and teamwork abilities.
  • Strong communication and interpersonal skills, both oral and written.
  • Flexibility and willingness to work a varied schedule, including evenings, weekends, and holidays.
  • Commitment to continuous learning and development in Facility Management.
  • Willingness to support the firm's mission, strategic goals, and culture.
