Massy Wood is currently recruiting for a Facilities Assistant with experience in the oil and gas petrochemical industry.

The Facilities Assistant is responsible for performing a variety of routine and complex administrative and analytical duties such as, but not limited to, keeping official records for security services, janitorial services, driver’s fleet transportation services, assisting in all administration services, assisting in the development and administration of Standard Operating Policies and Procedures and providing general administrative support to all Massy Wood Locations.

  • Responsible for populating electronic spreadsheets with data and performing analysis including but not limited to office administration and statistical information under the Facilities and Administration areas and overhead allocations.
  • Responsible for receipting processing activities in the Maximo System and updating all other company systems where applicable.  Tracking of vendor services under overhead allocations. Review of Invoices, preparation of cost benefits and analysis.
  • Prepare reports, proposals, presentations, memorandums and correspondence, monthly reports relating to house leases, and work permits updates.
  • Administration liaison for security services, janitorial service, utilities, pest control.
  • Perform customer service functions by answering employee requests and questions and ensure that all needs of Management are met efficiently, effectively and satisfactorily.
  • Responsible for vehicle allocation, rental services, maintenance scheduling, incident reporting in accordance with Massy Wood driving policy tracking and update of spreadsheets & reports and review of invoices.
  • Responsible for assistance with Shuttle Drivers’ services fleet, petrocard system and reimbursements updates, accommodation, company business travel, hotel, logistics and company events.
  • Assistance to oversee the Courier Service support to ensure that deliveries/ pick-ups bank transactions, both internally and externally are made in a timely.
  • Respond promptly and accurately to job-related matters relating to Facilities & Administration. 
  • Company central point contact as and when required.
  • Performs all other related job functions as required.

Qualifications

  • Administrative Professional Diploma.
  • Minimum three (3) years or more related experience.
  • Customer Service Certification would be an asset.
  • Advanced level in Microsoft Office suite of applications.
  • Experience in administrative and clerical duties not limited to documentation, filing, telephone operations, facility meeting assistance.
  • Ability to work effectively and prioritize in a fast-paced, high performance work environment.
  • Must have excellent oral and communication skills.
  • Must be detailed oriented and works with a high degree of accuracy.
  • Highly organized and flexible.
  • Customer/stakeholder oriented.
  • Must be self-directed and able to complete projects with limited supervision
  • Ability to work effectively and prioritize in a high-performance, fast-paced work environment.
  • Ability to work as part of a team.
  • Seeks ways to improve and promote quality and demonstrates accuracy and thoroughness.
  • Maintains the highest level of confidentiality and trustworthiness.
