Purpose

The Executive Assistant will maintain the smooth operation and communication across relevant departments in the JACDEN Group of Companies (JGC).

 Job Responsibilities and Tasks

  • Report to the Chief Medical Officer for daily updates, accomplishments, and any issues requiring attention.
  • Manage daily administrative tasks, including answering phones, scheduling, and organizing documents for the Chief Medical Officer (CMO).
  • Book travel arrangements and liaise with the Executive Secretary for the Chairman for joint mission with other Directors.
  • Organize and schedule appointments
  • Liaise with the Executive Assistant for the Chairman to handle requests and queries.
  • Handle expense reporting, invoicing, and basic accounting tasks.
  • Prepare monthly reports and analytics for the Chairman.
  • Coordinate internal meetings with JPMS staff. 
  • Organize inter-departmental meetings and discussions with JGC Directors as well as meeting with external stakeholders.
  • Liaise with vendors and clients and provide, feedback to the CMO.
  • Maintain office supplies and manage inventory for the JPMS subsidiary.
  • Develop and maintain filing system using the Electronic Health Records (EHR) system and Nookal platforms.

Required Skills and Qualifications:

  • An Associate Degree and at least two (2) years’ experience as an Executive Assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Ability to multitask and work under duress.
  • Attention to details and excellent problem-solving skills
