The Events Officer will be responsible for supporting the Marketing team to plan and implement a year-round calendar of activations and events.

JOB SUMMARY

The Events Officer will be responsible for supporting the Marketing team to plan and implement a year-round calendar of activations and events. The events officer handles all aspects of event planning from event production, coordinating communications, overseeing logistical details, and creating and monitoring event budgets. The Events Officer will work within the Marketing team to support in raising company profile by maximizing its income, contributing creatively to continued growth and development and assisting with public relations, press functions as well as various digital media and other associated marketing activities.

 

MAIN RESPONSIBILITIES

  • Develop, organize, and implement all event activities and attend to ensure their success. 
  • Identify, research, and secure local sponsorships and potential venues for events.
  • Meet with sponsors, organizations, property managers as necessary to discuss and plan event specifications such as scope, format, budget, administrative details, and special requirements.
  • Evaluate potential locations and vendors frequently to determine viability for future events and build a company knowledge base for use.
  • Monitor and oversee events from preparation, and set-up through teardown to ensure adherence to planned format, compliance with regulations, cooperation between vendors, resolution of issues, and overall satisfaction of all stakeholders.
  • Manage promotional stock and event equipment to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Assists with developing communication materials to promote events.
  • Remaining at or under budget with all event costs
  • Builds relationships with suppliers/ vendors, property managers and media.
  • Takes photos / videos of events to be provided as part of post-event reports and to be developed into content for social media outlets.
  • Creating schedules for promotional staff and employees needed at the event.
  • Oversee the set-up, dismantling and removal of the event and clearing the venue efficiently.
  • Liaise with Marketing team to promote events via advertising mediums.
  • Assist with the coordination and production of marketing communications and collateral material for the promotion of events.
  • Press kit assembly and distribution. Distribution of prizes to customers as necessary.
  • Manage Brand ambassadors for events and promotional activities.
  • Coordinates payment to suppliers with Marketing and Finance team; follows up on invoices and disbursement of cheques to vendors and suppliers.
  • Coordinates call conferences; as necessary for event activities.
  • Analyse and evaluate event’s results and share reports as needed.
  • Ensure adherence to applicable HSE legislation and policies as far as reasonably practicable.
  • Commit to attending all required HSE training.
  • Ensure all HSE assigned Key Performance Indicators (KPI’s) are fulfilled on a continuous basis.
  • Additional duties as assigned.

 

REQUIREMENTS

  • Minimum five (5) O Levels, Associate Degree in Marketing, Sales or any other related field.
  • A minimum of three (3) years’ work experience in a similar position.
  • Excellent business writing skills.
  • Detail oriented with excellent written and verbal communication skills.
  • Proficient at MS Office.
  • Excellent organizational skills and the ability to manage and coordinate multiple projects concurrently and meet established timelines.
  • Experience with planning and managing events would be an asset.
  • Excellent communication and interpersonal skills.
  • Creative thinking and problem solving.
  • Effective in executing support and administrative activities.
