The Customer Service Assistant will provide frontline, hands-on, and practical customer service functions to ensure effective coordination within the Facilities Management Unit.

Our Client in the Energy Sector is looking for a proactive and customer-focused Customer Service Assistant to join their Facilities Management Unit.

Job Title:  Customer Service Assistant

Job Summary: Provides frontline, hands-on and practical customer service functions for effective coordination of Facilities Management Unit.

Operational/Technical/Professional:

  • Greets clients, visitors, and guests; determines the purpose of their visits and directs or escorts him or her to the appropriate location.
  • Ensures all front desk security logs are completed by clients, visitors, and guests.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items to the intended recipients.
  • Performs administrative and clerical support tasks.
  • Performs basic filing and recordkeeping.
  • Manages Meeting room reservations and coordinates the requirements for meetings (catering, ICT support, stationary etc)
  • Liaises with suppliers and service providers for information
  • Performs other related duties as assigned
  • Adheres to all HSSE policies and procedures

 JOB SPECIFICATION MINIMUM QUALIFICATIONS

Education:

  • Five CXC O’Level passes including Math and English

 Experience:

  • A minimum of two (2) years’ experience in a related position

 Knowledge & Skills:

  • Knowledge of safety hazards and proper use of various cleaning and sanitizing solutions.
  • Detail-oriented and thorough.
  • Ability to keep areas clean and orderly.
  • Excellent Customer Services Skills
  • Ability to interact with staff, and visitors while remaining professional, polite, and courteous
  • Honesty and Ethics
  • Proficient in MS Office
  • Excellent Time Management skills
  • Good interpersonal and planning skills

 Physical Requirements:

•            Prolonged periods of sitting at a desk.

•            Must be able to lift up to 15 pounds at times.
