Client Services & Technical Assistant

Jamaica Institute of Financial Services is seeking a motivated and detail-oriented Client Services & Technical Assistant to join their team. The successful candidate will be responsible for providing efficient customer service, technical support, and maintaining the company's website. This role requires excellent interpersonal skills, a strong commitment to customer satisfaction, and the ability to manage multiple tasks effectively.

Key Responsibilities:

  • Receptionist Functions:
    • Answer incoming telephone calls professionally and enthusiastically.
    • Respond to queries, take messages, and direct calls appropriately.
    • Greet and direct visitors, and manage incoming and outgoing mail.
  • Website Maintenance:
    • Monitor and update the company website to keep it current.
    • Liaise with the Web Master and upload pictures and media after events.
  • Program Support:
    • Develop digital flyers and brochures.
    • Assist with marketing efforts, including follow-up calls.
    • Prepare materials for courses and ensure the training room is orderly.
    • Analyze and prepare evaluations for workshops, seminars, and conferences.
  • Technical Support:
    • Send electronic meeting invitations.
    • Assist students and facilitators with the electronic platform.
    • Provide technical support for online activities and invigilate electronic exams.
  • General Duties:
    • Maintain an accurate filing system and news clipping of relevant activities.
    • Ensure the office is clean and assist with various administrative tasks.
    • Distribute cheques and ensure the collection of outstanding payments.
    • Suggest improvements for systems and develop relevant procedures manuals.

Requirements:

  • Certificate/Diploma in Customer Service.
  • 5 CXC Subjects, including Mathematics and English Language.
  • At least 2 years of customer service experience in a customer-facing role.
  • Basic knowledge of MS Office and web marketing trends.
  • Strong follow-through, problem-solving, and administrative skills.
  • Graphic design skills are an asset.
  • Ability to maintain confidentiality and a professional demeanor.
