This role goes beyond traditional administrative duties, integrating responsibilities such as research, social media management, graphic creation, and data analysis. The ideal candidate will be a proactive problem-solver with exceptional organizational and multitasking skills.

Key Responsibilities:

Administrative Support:

  • Manage schedules, appointments, and correspondence for executives.
  • Draft, edit, and proofread reports, presentations, proposals, and professional communications.
  • Organize and maintain digital files and databases for easy retrieval.
  • Prepare meeting agendas, take minutes, and ensure follow-up on action items.
  • Coordinate travel arrangements, events, and virtual meetings.
  • Handle day-to-day personal tasks and errands for the executive team as required.

Social Media and Graphics Management:

  • Create, schedule, and monitor social media content across platforms to drive engagement.
  • Design basic graphics using tools such as Canva or similar software for social media and presentations.
  • Analyze social media metrics and prepare performance reports.
  • Stay updated on trends to recommend new content strategies.

Research and Data Management:

  • Conduct in-depth research on various topics, including market trends, competitors, and business strategies.
  • Analyze and summarize research findings into actionable insights or presentations.
  • Assist with data entry, reporting, and maintaining accurate records for ongoing projects.

Project Coordination:

  • Track project timelines, deliverables, and milestones, ensuring deadlines are met.
  • Collaborate with different departments or team members to keep tasks on schedule.
  • Provide administrative support for special projects, ensuring smooth execution.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Communications, or related field.
  • Minimum of 5 years’ experience in an administrative, personal assistant, or executive support role.
  • Strong proficiency in MS Office Suite, Google Workspace, and scheduling tools.
  • Familiarity with social media platforms and basic graphic design tools (e.g., Canva).
  • Exceptional written and verbal communication skills.
  • Strong research and analytical skills, with the ability to present findings clearly.
  • Excellent time management, organizational, and multitasking abilities.
  • Experience with remote collaboration tools such as Slack, Trello, or Zoom.
