To provide essential and efficient administrative support across the Operations function. Key responsibilities include managing records, coordinating schedules, preparing reports and presentations, organizing meetings, and handling travel arrangements.

Responsibilities:

General Administrative Support:

 

  • Update and maintain filing system, to ensure effective record management.
  •  Responsible for organizing all travel arrangements for the leadership team, including both local and      international trips.
  •  Provide the necessary support with engagement activities and initiatives.
  •  Prepare presentations and other documents as needed
  •  Schedule and coordinate meetings, including booking meeting rooms and setting up necessary equipment.
  •  Provide support for ongoing projects, including preparation of reports and tracking project timelines.
  •  Update and maintain databases and spreadsheets.  

Creation of Standard Contracts

  • Develop standard service contracts within the respective departmental sourcing limits throughout the Operations function, following the P2P (Procure-to-Pay) process.

 Contract Support for CAPEX and High-Value Sourcing: 

  • Assist in the creation of contracts for CAPEX or sourcing activities that exceed departmental limits and follow the P2P process.
  •  Coordinate with internal and external stakeholders to ensure proper follow-up and execution.

Purchase Order and Invoice Tracking Management:

  • Develop and implement a tracking system for purchase orders (POs) created by the department, invoices received, and payments completed to manage and mitigate OPEX budget sensitivities.
  • Create and maintain a PO tracker related to each CAPEX project, ensuring timely tracking of invoices  received and payments completed to manage CAPEX budget cash out.
  • Provide assistance in any other area related to the P2P process to ensure the smooth operation of the department.

Requirements:

  • BSc Social Sciences or any other related fields.  
  •  1-3 years administrative experience
  • Experience in FMCG/Manufacturing will be an asset, but not required.
  • Efficient and effective communication capabilities (written and oral).
  • Keen attention to detail
  • Great interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); knowledge of Power BI will be an asset.
  • Strong time management skills.
