Job Summary:

We are seeking a reliable, detail-oriented Administrative Assistant to support the day-to-day operations of our Production Unit. This position will involve overseeing leave management processes, ensuring accuracy and compliance with company policies, logistics management and acting as liaison among the Production Manager, Directors and other business Stakeholders. The Administrative Assistant will play a key role in creating a positive and efficient work environment for our Production team.

 

Key Responsibilities:

  • Manage daily office operations, including answering phone calls, responding to emails, and handling mail distribution.
  • Organize and maintain office files, both physical and digital, ensuring that documents are easily accessible and up-to-date.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff members as needed.
  • Prepare and proofread reports, and other documents.
  • Oversee employee leave requests, including vacation, sick leave, and personal time off.
  • Track and maintain accurate records of all leave balances, ensuring compliance with company policies and labour laws.
  • Communicate leave policies to employees and assist them with the leave request process.
  • Review and approve leave requests, coordinating with the HR department to ensure adequate staffing coverage.
  • Assist with onboarding new employees.
  • Maintain and update employee records, ensuring confidentiality and compliance with data protection regulations.
  • Assist with scheduling training sessions, meetings, and employee engagement activities.
  • Provide support with special projects and ad hoc tasks as assigned by the manager or department heads.
  • Serve as the point of contact for production team on general office inquiries and support requests.
  • Assistanting with Reception and Telephone Operator duties.

 

Qualifications and Skills:

  • High school diploma or equivalent; Associate's degree or higher preferred.
  • Minimum 2 years of experience in an administrative or office support role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint,)
  • Previous experience in leave management or HR-related tasks is a plus.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Attention to detail and the ability to handle confidential information with discretion.
  • Ability to prioritize and manage multiple tasks effectively in a fast-paced environment.
  • Problem-solving skills and the ability to think proactively.
  • Ability to work independently and as part of a team.
  • Experience with HR software or leave management systems is a plus.
