The Administrative Clerk will provide essential administrative and operational support to the Engineering/Maintenance Department.

Job Summary:

This role involves managing documentation, tracking work orders, preparing reports, and ensuring efficient department operations. The administrative clerk will work closely with the Engineering Manager to facilitate smooth workflows, maintain accurate records, and handle various administrative tasks.

 

Key Responsibilities:  

  • Prepare and create reports on maintenance activities, downtime, and other relevant metrics.
  • Create graphs and trends of factory performance. 
  • Create Standard Operating Procedure (SOP) documents for maintenance processes and procedures. (Required information will be provided by HOD).
  • Manage and track timesheets, monitor overtime and report daily on previous day overtime.
  • Collect, document, and trend downtime information to identify patterns and areas of improvement.
  • Create purchase requisitions for purchase orders and coordinate with the procurement team.
  • Document and manage the entire work order process from initiation to completion, ensuring timely updates and accuracy.
  • Request quotations from suppliers and assist in the procurement process for maintenance-related materials and services.
  • Train staff on relevant procedures and protocols as directed by the Engineering Manager.
  • Develop and maintain log sheets, rosters, and other department-specific documents.
  • Create, manage, and document work order requests and corrective work orders based on provided information.
  • Organize and schedule weekly and weekend rosters for maintenance teams.
  • Ensure essential forms (e.g. Overtime, Material Request Forms) are printed, stocked, and readily available for team members.
  • Track and document staff attendance, including late clock-ins, absences, and no-shows. 
  • Provide general assistance to the Engineering Manager, including supporting ad-hoc tasks and projects.
  • Maintain reminders for critical activities, deadlines, and important dates to ensure the smooth operation of the maintenance team.
  • Track Engineering Department and individuals KPIs (Key Performance Indicators). 

 

The ideal candidate should preferably have the following skills and knowledge:  

  • Strong knowledge of Microsoft Excel (advanced functions, formulas, pivot tables, etc.) and other computer applications.
  • Proficient in other Microsoft Office Suite applications and other relevant software.
  • Highly organised with excellent time management skills.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills.
  • Ability to multi-task with ease and prioritise work effectively.
  • Ability to work independently and collaborate with different teams.
  • Attention to detail.

 

Education and Experience: 

  • Associate’s Degree in Computer Science, Business Administration or equivalent level of training and experience.
  • Experience in the Food Manufacturing environment would be an asset.
