The Jamaica Observer Media Group – A member of the IRE Group of Companies is seeking to recruit a:

Administrative and Special Projects Coordinator

He/She will play a crucial role in supporting the marketing department by handling administrative tasks and coordinating special projects.

This role ensures the smooth functioning of the department and contributes to the successful execution of marketing initiatives.

The coordinator collaborates with all departments to ensure efficient operations and timely completion of special projects.

Core Functions:

  • Provide administrative support to the marketing department, including booking internal and external ads.
  • Assist in preparing reports, presentations, and other documents as required.
  • Maintain and organize department files, records, and documentation.
  • Coordinate travel arrangements and accommodations for marketing team members, as needed.
  • Manages budget allocation, reconciliation, and financial planning for the marketing department.
  • Analyzes data to provide actionable recommendations for marketing strategies.
  • Conducts market research to gather consumer insights, identify market trends, and assess competitors' activities.
  • Email Marketing and database management.
  • Contra Management.
  • Coordinate logistics for marketing events, campaigns, and special projects, including venue selection, vendor management, and on-site coordination.
  • Collaborate with internal and external stakeholders to ensure seamless execution of events and projects.
  • Manage project timelines and ensure deliverables are completed on time.
  • Track project progress and provide regular status updates to stakeholders.
  • Assist in preparing project briefs and coordinating project-related meetings.
  • Assists in managing project timelines and ensures successful execution of marketing initiatives.
  • Collaborate with other departments and teams to ensure effective communication and coordination for marketing initiatives.
  • Liaise with creative, digital, and content teams to gather necessary assets and materials for projects.
  • Coordinate with external agencies and partners as needed for project execution.
  • Serve as a point of contact between the marketing department and other departments for administrative and project-related matters.
  • Take the lead on assigned special projects, ensuring their successful planning, execution, and completion.
  • Conduct research, gather information, and analyze data to support special project objectives.
  • Develop project plans, set milestones, and monitor progress to ensure timely completion.
  • Provide post-project analysis and reports to evaluate the success and impact of special projects.
Minimum Qualifications - Education and Experience:
  • A Diploma or Bachelor's Degree in Business Administration, Project Management, Marketing, or a related field is preferred. 
  • Minimum 2 years’ experience in Marketing or Admin.
