Job Summary: The Administrative Assistant provides strong administrative support to the various teams at JT Allum and Company Limited, ensuring organizational goals are met in an efficient and timely manner.
The Administrative Assistant reports to the Group Administrative Manager
Main Responsibilities:
• Procurement – Source quotes from list of suppliers and prepare Purchase Orders based on most competitive prices.
• Assists with preparing Lease Agreements and all related documents, as well as other correspondence, maintaining accuracy and adhering to the Company’s set standard.
• Prepares Loan Slips and Petty Cash Vouchers, ensuring all invoices are received to balance same.
• Contacts tenants re: Receivables transactions.
• Assists with incoming telephone calls; directs to the appropriate personnel and takes detailed messages as required.
• Copies and logs all iincoming correspondence.
• Makes daily updates to the Time & Attendance Report.
• Reviews invoices for payment verification.
• Updates Utility Spreadsheets and reports as required.
• Orders office supplies and consumables as required.
• Maintains a proper filing system (digital and physical).
• Provides general assistance to visitors, maintaining professionalism, courtesy and tact.
• Performs all other job-related functions as required.

• Strong verbal and written communication skills.
• Ability to work with minimal supervision.
• Ability to work in a Team environment.
• Ability to work to tight deadlines and manage several projects and tasks simultaneously.
• Strong time management and multi-tasking ability
Qualifications and Experience:
• At least two (2) years’ experience in an administrative role.
• Six (6) C.A.P.E. subjects including English Language and Mathematics.
• Strong working knowledge of Microsoft Office software including MS Word, Excel, PowerPoint and Outlook.
