The Administrative Assistant is responsible for providing Administrative and Secretarial support to enhance the efficient operations of the Department.
REQUIRED EDUCATION/EXPERIENCE/EXPERTISE:
ü NVQ-J Level 4 Certification or Associate Degree or the equivalent in any of these disciplines: Business Administration, Public Sector Administration, Computer Science, Project Management, Industrial Psychology and Office Administration
ü At least two (2) years relevant experience in a comparable position and business/work environment such as: a Tertiary Institution, Public Administration, Commercial and Professional Operation and Service Organization

KEY DUTIES:
ü Co-ordinates Performance Appraisals for staff
ü Assists in the preparation of teaching aids and assessment documents
ü Works closely with Accounting Officer to monitor the management of disbursement Of petty cash
ü Co-ordinates First Aid and other Training Activities
ü Plans and organizes meetings, workshops and seminars
ü Attends meetings and workshops on behalf of Department
ü Produces and transcribes notes from Meetings as required
ü Receives, sorts and logs all correspondences in accordance with established guidelines
ü Provides information to clients
ü Tracks monthly income & expenditure for all intervention
ü Updates status of and reconcile applicants of the Training Management System (TMS)
ü Processes claims for part-time trainers and assessors
ü Processes recruitment documents for all trainers and assessors
ü Conducts reference checks for all new employees
ü Supervises trainees
ü Conducts stock taking activities and record/update stock inventory levels and stock cards
ü Maintains accurate records management system
ü Prepares Purchase Orders
ü Participates in the procurement process as required
ü Co-ordinates driver schedule
ü Prepares reports and other documents
