The Accounts Supervisor will collaborate closely with the Directors to oversee the functions of the Accounts and Administration Department. This role involves providing direction and guidance to junior staff, ensuring efficient reporting to the Directors.

KEY RESPONSIBILITIES & DUTIES 

Accounting:

  • Oversee the accounts payable cycle, ensuring supplier statement reconciliations are completed accurately and promptly.
  • Supervise the accounts receivable cycle, ensuring customer reconciliations are conducted in a timely and accurate manner.
  • Review payroll processing and ensure all statutory payments are remitted on schedule.
  • Ensure full compliance with applicable legislation and statutory obligations.
  • Scrutinize documentation supporting payment requests, ensuring proper authorization and availability of funds.
  • Prepare and reconcile bank and credit card statements.
  • Manage the preparation of daily cash flow reports.
  • Ensure timely calculation and remittance of VAT, Green Fund, and Business Levy obligations.
  • Ensure utility payments are made on time to avoid penalties.
  • Ensure TD4 summaries are prepared for staff in accordance with deadlines.
  • Reconcile sales from the retail operation and verify settlement reports to ensure payments via Linx/Visa/Mastercard are credited correctly.
  • Prepare costings for imports, production, and other relevant areas, providing detailed reports to management.
  • Collaborate with Operations to effectively manage the company’s inventory.
  • Support the Sales Department by approving and signing invoices.

Human Resources:

  • Oversee all HR functions, including employee management, preparation of letters, and serving as the primary liaison between the company and external consultants.
  • Achieve staff results by setting clear job expectations, monitoring performance, providing coaching, counseling, and implementing disciplinary actions when necessary.
  • Initiate, coordinate, and enforce HR policies, systems, and procedures.

Administration:

  • Provide comprehensive administrative support to the Directors in HR, Administration, Logistics, Accounting, and Sales & Marketing.
  • Ensure proper organization and maintenance of office files and records.
  • Supervise retail operations, ensuring high levels of customer service and operational efficiency.
  • Coordinate and follow up on all imports, communicating effectively with brokers and suppliers as needed.
  • Ensure compliance with regulatory requirements by maintaining the Minister’s License and other necessary bonds.
  • Contribute to team efforts by accomplishing related tasks as needed.
  • Perform any other duties as assigned by management in an efficient and effective manner.

 

SKILLS REQUIREMENTS

Qualifications & Experience

  • Level 2 ACCA and pursuing Level 3 ACCA or equivalent
  • Sound interpersonal and communication skills
  • Proficient in Peachtree
  • Proven ability to coach, develop, and empower employees
  • Computer Literate with a working knowledge of MS Office Suite
  • A minimum of two (2) years of experience in a similar position in a manufacturing environment
  • Able to prepare and present financial reports
  • Auditing experience, preferably in a manufacturing environment
