Accounts Payables Assistant

Job Title: Accounts Payables Assistant 

JOB PURPOSE

The Accounts Payables Assistant is responsible for providing day to day financial, administrative and clerical services in order to ensure effective, efficient, accurate financial and administrative operations in a timely manner. The Accounts Payables Assistant must comply with established policies and procedures. 

PRINCIPAL ACCOUNTABILITIES

  1. Submit all invoices from all non trading suppliers through Basware application; invoices must be assigned to the correct expense account and cost centers.
  2. Prepare payables listing bi-monthly and submit to Finance Manager (FM) for review and approval; upon approval of same submit to Basware Team for execution in SAP.
  3. Review execution of payment proposal in SAP to ensure agreement with the payables submission.
  4. Create SNOW TICKETS, to add new vendors and all their required particulars.
  5. To maintain supporting records and worksheet for all CAPEX invoicements and request the creation of new asset as approved by FM.
  6. Input payroll hours, other emoluments, payroll deductions for fortnightly payroll calculation. Prepare and send pay advice electronically to staff. Secure records both in hard and soft copies.
  7. Prepare accounting entries for fortnightly and monthly payroll summary and identify all payroll deductions separately in SAP.
  8. Reconcile daily bank transactions in respect of payments.
  9. Update spreadsheet analysis for all expenses for auditing purposes monthly.
  10. Update outstanding cheque listing weekly.
  11. Prepare monthly expenses report for personnel expenses.
  12. Prepare payroll and withholding tax returns and related backups by the 7th of each month.
  13. Prepare GCT returns and the related backups monthly.
  14. To perform monthly reconciliation of suppliers account to supplier statements to ensure integrity of data processed.
  15. Process all employee’s expenses
  16. To ensure all relevant documentation/supports are correctly and orderly filed. 

Qualifications and Experience

  • knowledge of accounts receivable
  • knowledge of general bookkeeping procedures
  • knowledge of general accounting principles
  • ACCA Level 1 and 2 years accounts payables and general accounting experience
