We are looking for an organized and proactive Accounting and Administration Assistant to join the finance department of our dynamic company. This role plays a critical part in supporting the team with various accounting tasks, including managing accounts payable, processing transactions, and assisting with the preparation of management reports. The successful candidate will have strong attention to detail and the ability to manage multiple administrative tasks efficiently.
Job Overview:
The Accounting and Administration Assistant will provide essential support to the finance department by performing various accounting tasks, including managing accounts payable, maintaining financial records, processing transactions, and assisting with preparing management reports. This position requires attention to detail, strong organizational skills, and the ability to work effectively both independently and as part of a team.
Key Responsibilities:
1. Accounts Payable:
- Process vendor invoices and ensure proper coding to the general ledger.
- Ensure timely payment of bills and communicate with vendors regarding any discrepancies or payment issues.
- Prepare and maintain a schedule of upcoming bills and payments.
2. Inventory Control:
- Assist with data integrity of Purchase Orders, Receipts and costings.
3. General Ledger & Reconciliation:
- Assist with monthly, quarterly, and year-end closings.
- Reconcile bank accounts, credit card statements, and other financial accounts.
- Record journal entries and update financial records as needed.
4. Financial Reporting:
- Assist in preparing internal financial reports, such as balance sheets, income statements, and cash flow statements.
- Support the preparation of reports for external audits and tax filings.
5. Data Entry and Documentation:
- Enter financial data accurately into accounting software or spreadsheets.
- Maintain organized and accurate records of financial transactions.
- File and archive financial documents for easy retrieval.
6. Administration:
- Assist with the preparation of internal forms, order and receipt of stationery, mail-outs etc.
Qualifications:
Education:
- Five (5) CXC O’Level passes, including Math and English A; Associate’s degree in Accounting, Finance, or related field preferred.
- Completed Level 1 ACCA or CAT/FIA Accounting Technician.
Experience:
- 3-5 years of experience in an accounting or finance role preferred.
- Proficiency in the use of accounting software (e.g., MS Great Plains, Business Central is a plus).
- Daily use of Microsoft Excel, developing and maintaining spreadsheets.
- Experience working in a dynamic environment
