ACCOUNTING CLERK

 

Title: Accounts Clerk

Reports to: Administrator

General Duties: Responsible for Accounting Clerical duties of the institution

Specific Duties:

  1. Keep accurate weekly record of all income and expenditure and assisting in the preparation of financial statements for Finance and General Purposes Committee and Board meetings
    1. Prepare monthly in-kind donation listing and their associated value.
    2. Prepare monthly cash donations
    3. Prepare monthly projects value (farm intake, poultry projects etc.)
    4. With help of the Administrator/Accountant prepare quarterly statements for auditing

 

  1. Prepare purchase orders for supplies

a. Prepare invoices for suppliers as needed

 

  1. Prepare payments (Cheques & Vouchers) of Bills / Invoices after approval for payment by the Administrator

 

  1. Prepare all salaries-weekly, fortnightly, monthly
  1. Receive fortnightly payroll listing documents including Hours worked from Care supervisor on Mondays
  2. Calculate and prepare salaries by Tuesday
  3. Run payroll software before upon receiving signed approval from the Administrator on Wednesday
  4. Prepare cheques or transfer documents as needed on Wednesday, present cheques to Administrator for sign off.
  5. Pay all Statutory and Non-Statutory deductions to the relevant authorities on a timely basis as governed by the entities.
  6. Complete statutory deduction cards for each employee and enter yearly information on all relevant staff files by the 14th day of the following month.

 

  1. Issuing of receipts for all goods sold by the JNCH

 

  1. Issuing of receipts for all monies received on behalf of the JNCH

 

 

  1. Record keeping of all special projects-Poultry/Garden/Bakery etc.

 

  1. Making weekly accurate entries in accounting software

 

  1. Recording of all medications received from Hospital or Pharmacy for the children.

 

  1. Prepare quarterly medication report along with copies of receipts to be submitted to the CPFSA (Month end of March, June, September and December of each year).

 

  1. Prepare quarterly attendance register for all staff members using log books at security post (due at the end of March, June, September and December) and reporting information to the Administrator.

 

  1. Works with Deputy Director - Administration with duties, including but not limited to -

(a) distributing regular information reports

(b) distributing new employee's welcome package

( c) Corresponding to donors by letters or email.

 

  1. Performs other office duties, as required, including but not limited to - typing, filing, making telephone calls and answering the telephone.

 

  1. Any other duties as directed by your supervisor.

 

EDUCATION AND/OR EXPERIENCE

QUALIFICATION AND REQUIREMENTS:

Education:

High School Graduate 4 G.C.E O'Levels/CXC inclusive of Mathematics and Principles of Accounts.

Previous Experience:

One to two years book-keeping experience

SPECIFIC REQUIREMENTS:

  • Accounting (payables, receivables, general ledger billing) software
  • Spreadsheet software skills
  • Word processing software skills
  • Ability to use the Internet including e-mail services
  • Ability to manage and complete multiple tasks.
  • Accounting terms, principles and processes
